Job Summary:
We are seeking a highly organized and creative Event Planner to join our team. The Event Planner will be responsible for planning, coordinating, and executing various types of events, ensuring they run smoothly and meet client expectations. This role requires excellent project management skills, attention to detail, and the ability to work under pressure.
Key Responsibilities:
Event Planning and Coordination:
- Plan, design, and produce events while managing all project delivery elements within time limits.
- Liaise with clients to identify their needs and ensure customer satisfaction.
- Conduct market research, gather information, and negotiate contracts prior to closing any deals.
- Provide feedback and periodic reports to stakeholders.
Budget Management:
- Prepare budgets and ensure adherence.
- Track event finances including check requests, invoicing, and reporting.
Vendor Management:
- Source and negotiate with vendors and suppliers.
- Coordinate logistics and services, including technology and equipment needed to run the event, catering, transportation, and venue management.
On-site Event Management:
- Oversee event happenings and act quickly to resolve problems.
- Ensure compliance with insurance, legal, health, and safety obligations.
- Manage on-site production and clean-up for events as necessary.
Marketing and Promotion:
- Promote the event using various channels, including social media.
- Coordinate promotional activities to ensure the success of the event.
Qualifications:
Education:
- Bachelor’s degree in Event Management, Hospitality, Business, or a related field preferred.
Experience:
- Proven experience as an Event Planner or Coordinator.
- Portfolio of previously managed events (conferences, meetings, parties, corporate events).
Skills:
- Exceptional organizational and project management skills.
- Strong interpersonal and communication skills.
- Ability to manage multiple projects independently.
- Proficiency in event management software and MS Office.
- Creative thinking and problem-solving skills.
- Ability to work under pressure and meet tight deadlines.
Other Requirements:
- Flexibility to travel and work weekends or evenings.
- Physical stamina and the ability to lift heavy objects as needed.
