Job Summary:
Grover Audio Visual Services is seeking an energetic and detail-oriented Event Planning Specialist to join our dynamic team. In this role, you will be responsible for coordinating and executing high-quality events that showcase our audiovisual expertise. You will work closely with clients, vendors, and internal teams to ensure every event is seamlessly planned and executed to meet our company’s high standards.
Key Responsibilities:
• Event Coordination:
• Plan, organize, and execute events from concept to completion, ensuring all audiovisual and logistical requirements are met.
• Collaborate with clients to understand their needs and tailor event plans to align with their vision.
• Vendor and Stakeholder Management:
• Coordinate with external vendors, suppliers, and service providers to secure necessary resources and services.
• Build and maintain strong relationships with partners to ensure smooth operations and timely delivery of services.
• Logistics & Production:
• Manage event timelines, budgets, and resource allocation to ensure efficient execution.
• Oversee the technical aspects of events, including audiovisual setups, equipment rentals, and production details.
• Troubleshoot issues on-site to ensure events run smoothly.
• Communication & Collaboration:
• Work closely with internal teams including marketing, sales, and technical staff to integrate event strategies with overall business objectives.
• Prepare and deliver event briefs, status reports, and post-event analyses.
• Continuous Improvement:
• Monitor event performance against set KPIs and gather feedback for future improvements.
• Stay updated on industry trends and innovations in event planning and audiovisual technology.
Qualifications:
• Bachelor’s degree in Event Management, Hospitality, Communications, or a related field.
• Minimum of 2-3 years’ experience in event planning, with a preference for candidates with exposure to audiovisual or technical event environments.
• Proven ability to manage multiple projects simultaneously while meeting deadlines.
• Strong organizational, communication, and problem-solving skills.
• Proficiency in event management software and basic audiovisual technologies is a plus.
