Job Description

An internship with the National Multiple Sclerosis Society is a form of experiential learning that integrates knowledge and theory learned in the classroom with practical application and skills development in a professional setting.

The Event Production Intern will work as part of the Event Production department to support the planning and execution of large-scale fundraising events. This position focuses on logistics coordination, vendor management, warehouse management, and administrative tasks. This is a hybrid/remote paid internship available for Spring 2026.

This Intern will need to be based in Boston/Waltham MA or surrounding areas to support occasional weekend events.

Key Responsibilities
• Logistics Coordination (70%)
• Assist with securing vendors for assigned events, focusing on cost-saving measures by bidding out multi-site vendors (e.g., tents, tables, chairs, heavy equipment, toilets, waste disposal, vehicle rentals, communication equipment, entertainment equipment, water and ice, peripheral equipment).
• Manage the warehouse to ensure space is fully utilized and orderly, maintaining a current inventory of event materials and supplies.
• Assist with packing and distribution of event supplies before, during, and after events.
• Support the staging and day-of execution of events such as Walk MS.
• Budget and Project Coordination (30%)
• Negotiate and manage event supply contracts, including tents, porta-potties, dumpsters, facilities, trucks, and supply vehicles.
• Manage vendors by securing bids, finalizing contracts, processing payments, and ensuring accurate record-keeping and expense tracking.
• Complete post-event financials, including final invoice processing, thank-you communications to vendors/partners, and tracking supply/product usage.

Learning Objectives
• Gain experience in large-scale event planning from implementation to execution.
• Learn best practices in risk management and executing safe and successful events.
• Build and maintain relationships with vendors, volunteers, and colleagues for ongoing networking opportunities.

Qualifications
• Currently pursuing a degree as a Junior or Senior in college or any year in graduate school.
• Open to all majors, with a preference for Business Administration, Event Management, Hospitality, Marketing, or related fields.
• Strong communication and problem-solving skills.
• Strong detail orientation, organizational skills, and time-management skills.
• Ability to coordinate multiple deadlines and ask for help when needed.
• Desire to learn about nonprofit fundraising and producing large events.
• Occasional travel required for event preparation and execution.
• Access to reliable internet (required for remote or hybrid positions).
• Familiarity with Microsoft Office Suite or similar software for e-mail, document, and spreadsheet creation/management.
• Comfortable with physical tasks and able to lift up to 25lbs, with reasonable accommodation provided.
