The Role: Working in the India Marketing team and reporting to the Director of Events, International and matrix reporting to the Associate Director of Marketing, India. The candidate will actively coordinate and successful execute digital and live events planned throughout the year. The role requires good communication, flexibility and a positive ‘can do' attitude. This position is based in our Mumbai office.

The Team: Marketing and Communications creates integrated communications and campaigns that aim to make the Morningstar brand tribal. Consisting of marketing managers, event planners, designers, writers, corporate communications professionals, digital strategists, behavioural scientists, and more, this collaborative team serves our marketing needs across our business. We are data-driven experimenters who work to deliver the right messages to the right people at the right time. We also drive demand by developing go-to-market strategies for Morningstar products. The team works globally to maintain a consistent brand experience everywhere Morningstar serves investors.

Responsibilities
• Working to coordinate and execute a series of online and live events throughout the year, including: own-hosted conferences, regional adviser forums and roadshows
• executive level forums
• awards ceremonies
• private dining
• corporate hospitality
• and administration of Morningstar's involvement in third-party conferences
• Plan and host a series of webinars using Zoom Webinar, acting as the key liaison between internal stakeholders
• Plan strategically targeted agendas with relevant speaking teams, optimising Morningstar's thought leadership and building an integrated marketing campaign around each event
• Coordinate, manage and execute invitation process for events and webinars
• Build and execute social media plans, gathering assets and writing copy for posts
• Maintain the events calendar
• Ensure that contingencies are in place for keynote speakers, live events and other potential last-minute changes that will require you to trouble-shoot and adapt
• Coordinate internal and external speakers and resources and maintain schedules to avoid conflicting dates
• Build relationships with key stakeholders and provide them with clear, transparent communications around event progress
• Collaborate with the Marketing team to ensure a consistently high-profile and high-quality association for the Morningstar brand, and where appropriate, work with Media team to ensure pre- and post-event media coverage of events
• Meet and greet and general support on the day for live events, and manage the attendee experience for online events
• Collect, analyse and report attendees' feedback and recommend changes to ensure continual improvement and quotes for future promotional activity
• Events P&L management and reporting
• Track event marketing qualified leads over to sales team, and subsequent conversion rates
• Communicate and share best practices with other Morningstar offices
• Adhere to all internal procedures and business requirements
• Provide accurate and timely event reports
• Build a solid network with key clients

Requirements
• Minimum 5 years' relevant experience evidence of successful event planning, promotion and management is required, with investment industry or general financial services knowledge preferred
• Bachelor's degree
• Proven ability running events through the entire event life-cycle—both live and digital
• Ability and willingness to plan and execute each event from the ground-up, using a hands-on approach
• Excellent communication skills
• both written and verbal, with the ability to adjust communication style to suit audience. Must be professional dealing with senior stakeholders and able to build rapport in short timeframes
• Proficient with Microsoft office with the ability to quickly learn new systems (e.g. event management software, project management software, payment processing software, email marketing platform etc.).
• Experience using event management software (e.g. Cvent), email marketing systems (e.g. Eloqua or equivalent), webinar platforms (e.g. Zoom or equivalent), digital event platforms (e.g. Intrado, Cvent Attendee Hub) is preferred
• Ability to solve problems creatively with available resources
• Ability to juggle a heavy workload, often with conflicting timelines
• Must remain calm under pressure
• Be process-driven
• ability to adapt existing/create new processes to enable efficient output without jeopardising quality
• Organised and logical with ability to pay close attention to detail whilst maintaining consistent approach
• Must be proactive and show initiative

Role and Responsibilities:

As a Customer Event Planning Team Member at Hafla, you will be responsible for managing the end-to-end planning of events for our clients. This includes understanding customer requirements, coordinating with vendors, and ensuring events are executed within budget and on time. Your role is pivotal in transforming client visions into memorable events through meticulous planning and effective coordination. The requirements for this role are therefore,

Client Consultation:

Engage with clients to understand their event requirements, preferences, and expectations.

Provide expert advice and recommendations to help clients achieve their desired event outcomes.

Event Planning:

Develop comprehensive event plans that outline all necessary details, including timelines, budgets, and logistics.

Create and manage detailed schedules to ensure all aspects of the event are organized and executed on time.

Vendor Coordination:

Identify and liaise with suitable vendors for various event services (e.g., catering, decorations, entertainment) through the Hafla vendor database

Negotiate Pricing and manage relationships with vendors to ensure quality service delivery within budget constraints.

Budget Management:

Prepare and manage event budgets, ensuring all expenses are accounted for and align with client financial constraints.

Provide clients with regular budget updates and manage any necessary adjustments.

Logistics Management:

Coordinate all logistical aspects of the event, including venue arrangements, transportation, and on-site setup.

Ensure all event elements are delivered and set up according to the plan and client specifications.

Quality Assurance:

Coordinate with on ground specialists for site visits and inspections to ensure all preparations meet Haflas quality standards and client expectations.

Address any issues or discrepancies promptly to maintain the integrity of the event.

Event Execution:

Oversee the execution of events, ensuring everything runs smoothly and any last-minute changes are managed effectively.

Serve as the primary point of contact for clients and vendors during the event.

Post-Event Follow-Up:

Conduct post-event evaluations to gather feedback from clients and identify areas for improvement.

Ensure all post-event administrative tasks are completed, including finalizing payments and updating records.

Requirements and Skills:

Excellent communication and client handling skills - this role will directly interface with all of Haflas clients.

Proven experience or internship in the event management industry.

Extremely well-organized with great multitasking skills and the ability remain calm in pressure situations.

Excellent vendor management skills - explaining vendor requirements, setting quality and service expectations, negotiating prices, and ensuring delivery of requirements as per commitments (all this while building a long term relationship with these vendors).

Attention to detail and a commitment to accuracy.

Ability to work effectively in a fast-paced environment.

Great problem-solving ability.

Proficient in MS Office.

Degree / prior experience in event management, hospitality management, public relations or relevant field (preferred).
