About the Role

We’re on the lookout for a highly organised, energetic and creative Events Coordinator to join our client's growing marketing team. This is a varied, hands-on position where you’ll take the lead in delivering a wide spectrum of events from internal celebrations and wellbeing days to external conferences, networking evenings and recruitment fairs.

You’ll bring ideas to life, energise teams and ensure events reflect our client's values while enhancing their brand visibility. Whether it’s hosting a summer staff get-together or coordinating their presence at a large community festival, you’ll be at the heart of it all making things happen and ensuring everyone has a brilliant experience.

This role requires creativity, flexibility, a good sense of fun and a knack for logistics. You’ll be working closely with the in-house marketing team and colleagues across all departments, ensuring events are delivered with purpose, polish and personality.

Key Responsibilities

• Event Management: Take ownership of events from concept through to completion across different office locations.

• Creative Planning: Brainstorm with the marketing team to develop engaging, on-brand event concepts.

• Venue & Supplier Coordination: Research and liaise with external venues, caterers, speakers, entertainers and vendors.

• Logistics Oversight: Arrange all event logistics including travel, equipment, tech requirements, signage, materials and guest management.

• On-Site Execution: Provide hands-on support during events, ensuring everything runs smoothly and attendees feel well looked after.

• Budget Control: Manage event budgets efficiently while maintaining high standards and experience quality.

• Post-Event Review: Collect feedback and performance metrics, and report back to the wider team with suggestions for improvements.

• Employee Engagement: Help to drive team spirit and engagementthrough seasonal activities, competitions and themed events.

About You

• Exceptional attention to detail and time management skills

• Experience working in event planning, hospitality, or coordination roles from weddings to corporate functions

• A creative flair with a passion for curating memorable experiences

• A natural communicator and confident liaising with all levels of colleagues and suppliers

• Calm under pressure with the ability to problem-solve in real time

• Thrives in a fast-paced environment with competing priorities

• Willingness to travel between offices and occasionally support weekend/evening events

What You’ll Need

• Minimum 3 years’ experience in a similar events-focused role

• Demonstrated success managing events of varying scales

• Strong Microsoft Office skills (Word, Excel, Outlook, PowerPoint)

• Familiarity with creative/project tools such as Canvan and Trello

• Proven ability to manage budgets and negotiate with suppliers

• Understanding of risk and compliance considerations at public/private events (desirable)

Belmont Estate is looking for someone to assist with the coordination and delivery of Belmont events and associated business development. This role is pivotal to the delivery of a wide ranging events calendar, providing support to the Business Development and Events director, helping drive sales, inspire lives and bringing a passion for food, drink and sustainability while sharing your knowledge and promoting our brand, causes and business in accordance with our values.

This is a full-time role based in beautiful offices and grounds located south of Bristol.

Key Responsibilities:

As Events Coordinator you will Coordinate and assist in the development of the events offering, including management of the events calendar, and events costings.

You will have overall responsibility for dealing with incoming enquiries via telephone, email and face to face to maintain effective communication with guests from initial enquiry through to the event itself.

You will use your networking skills to seek out and build connections, providing product and service knowledge to guests with intent to generate leads.

You will be responsible for CRM management / upkeep of client database alongside supplier and contractor management.

You will have the operational responsibility for the logistics, booking, transport and suppliers relating to the delivery of estate events and functions.

You will have the ability to dress the venue (site / room), organise merchandise/collateral and welcome guests. Post-event, ensure clear down of venue, thank guests for attending, ask for feedback, follow up on any leads or queries.

You will work in collaboration with Marketing on event content (copy/adverts) for publicising events (social media, web and email) and post-event brand posts, including quotes. During events you will take or orchestrate photographs to support the marketing strategy.

You will analyse and report customer feedback to continuously develop a tailored and market focused product.

You will be responsible for the management of temporary/seasonal event staff.

You will provide general administrative assistance relating to event management to the BDE Director.

The successful candidate will have:

• Excellent understanding of how to develop income generating events

• Excellent understanding of how to work with external contractors, partners and third party suppliers

• In depth knowledge of the corporate and leisure events industry and our competitors

• Exceptional customer service skills

• Previous involvement in business development and proven track record of delivering events which provide an exceptional guest experience

• Budget management experience and be numerically minded

• Deal and contract negotiation skills

• Excellent organisation and administration skills

• Computer literate skills with experience of Microsoft Office, especially Excel

• Working knowledge of event health & safety

• Excellent organisational and time management skills

• Strong verbal communications skills

• Excellent team working skills with the ability to work collaboratively and co-operatively with colleagues

• An ability to work autonomously where required

• A flexible approach to work, be hardworking and conscientious

• Proactive mindset with a strong, dependable work ethic with a ‘can-do’ attitude

• Full and clean driving license

Ideally have experience of working in a privately owned organisation of similar scale
