About our team | Mō te tīma
The Events team is a team within Marketing Services. We provide event management services and give professional events advice and support to academic departments, service divisions and departments across all three of the University’s main campuses. As part of Marketing Services, we play an integral role in recruiting students via engaging and innovative on-campus events and raising the profile of the University both nationally and internationally.
The role | Te mahi
Reporting to an Events Team Leader, the Events Coordinator will deliver professional event services across a portfolio of mid-sized events that are typically domestic and/or routine. You will also assist other team members in the organisation and production of large, high profile or significant events.
In this varied and fast-paced role, you can expect to be involved in end-to-end event coordination including:
Working with event owners and Marketing and Communication Services teams to determine event objectives, briefs, and planning documents.
Organising routine event requirements such as venue bookings, catering, and securing technical resources.
Producing event documents and programmes.
Using events software to create registration pages, communications, abstract management and websites.
Undertaking efficient and effective on-site operational event organisation.
Gathering post-event feedback and undertaking evaluations.
Providing professional event administration.
You will be working in a collaborative team environment in partnership with a range of internal and external stakeholders to deliver proactive, professional event coordination services.

To be successful in this role you will have:
Suitable professional experience in organising end-to-end delivery of a wide range of events.
Demonstrated skills in event scheduling design, planning, logistics and delivery.
A high level of ability with Microsoft Office software and databases.
Strong organisation, time management skills and customer service orientation.
Prior experience organising high quality conferences, hospitality events, or festivals an advantage.

This is a part-time (26.25 hours per week), fixed term position until January 2027 based in Ōtepoti, Dunedin.
Given the nature of events, a flexible approach to working hours is necessary, as events often occur on evenings and weekends. Travel for off-campus events may be required from time-to-time.
The appointment range for this role is $69,931 to $74,609 per annum (pro-rata).
