This role involves collaborating with various members, guests and hosts, managing logistics, and ensuring that all aspects of the event run smoothly. The Event Coordinator will be responsible for overseeing events from conception to completion while adhering to budgets and timelines.
Responsibilities
• Plan, organize, and execute a variety of events including corporate functions, weddings, fundraisers, and social gatherings.
• Collaborate with clients to understand their vision and requirements for each event.
• Develop and manage event budgets, ensuring all expenses are tracked and kept within limits.
• Negotiate contracts with entertainment providers.
• Coordinate logistics including venue selection, catering arrangements, guest services, and transportation.
• Market events through various channels to maximize attendance and engagement.
• Provide exceptional guest services before, during, and after events to ensure satisfaction.
• Oversee on-site event management to ensure everything runs according to plan.
• Conduct post-event evaluations to gather feedback for future improvements.
Skills
• Strong organizational skills with the ability to manage multiple projects simultaneously.
• Excellent communication skills for effective collaboration with clients, vendors, and team members.
• Proficiency in budgeting and financial management related to event planning.
• Experience in negotiating contracts with vendors to secure favorable terms.
• Knowledge of marketing strategies to promote events effectively.
• Familiarity with fundraising techniques is a plus for non-profit events.
• Ability to upsell services or products related to the events being coordinated.
• Previous experience in restaurant or hotel settings is advantageous but not required.
