We’re looking for an experienced Events Coordinator to own the strategy, delivery, and optimisation of our event program — from disability expos and trade shows to accommodation open days and community engagement activities.

About the Role

You will support the planning and coordination of Endeavour Foundation’s presence at key external events, including expos, conferences, and sector-led activations. Working closely with the Brand & Content Team and a range of internal stakeholders, you’ll help ensure our event participation is well-organised, on-brand, and effectively executed.

Your strengths in organisation, communication, and stakeholder liaison will help deliver a smooth experience before, during, and after each event – from booking and logistics through to post-event wrap-up. You’ll also play a hands-on role in preparing materials and supporting on-site setup and pack-down when needed. Success in this role means well-coordinated logistics, professional presentation of our brand, and a strong support for the teams and partners involved in every event.

Key Responsibilities

Assist with event selection and maintain an annual events calendar in line with the event strategy.
Coordinate event logistics and bookings for expos, conferences, and third-party events where Endeavour Foundation has a presence.
Provide occasional support for owned events (e.g. open days or community events), assisting with logistics and on-the-day coordination.
Support the setup and pack down of stalls or booths, including managing promotional materials, signage, furniture, and merchandise.
Liaise with event organisers, internal stakeholders, and vendors, while building strong relationships with site teams to coordinate attendee rosters and representatives. Provide guidance and encouragement to ensure staff feel confident engaging with potential clients and capturing leads effectively.
Create and maintain event toolkits and resources across all sites.
Manage lead capture systems at events, tracking and reporting on lead generation outcomes post-event.
Work closely with the Brand & Content Team to ensure brand consistency and quality of presentation across all events.
Offer insights and recommendations for future events based on the success and learnings from previous activations.
Manage all event logistics, including coordinating bump-in and bump-out requirements.
Monitor and manage event budgets to ensure cost efficiency and maximum return on investment.
Travel as required across Australia (primarily within SEQ) to support event delivery and oversight.
What you can bring to the team

1–2 years’ experience in events, marketing coordination, administration or a similar support role.
Exposure to coordinating logistics for events, expos or conferences - such as booking venues, managing checklists, or helping set up booths.
Strong organisational skills and the ability to manage multiple moving parts with attention to detail.
Confident and professional communicator, both written and verbal, with the ability to liaise across teams and external partners.
A proactive, can-do attitude with a willingness to take ownership of tasks and step in wherever support is needed.
Comfortable working in a fast-paced environment with changing priorities and deadlines.
A natural relationship builder who enjoys working with others and helping teams feel prepared and motivated at events.
A qualification in Event Management, Marketing, Communications, Business or a related field (this role is ideal for a recent graduate or someone early in their events career).
An understanding of, or willingness to learn about, the NDIS and disability support sector is highly regarded.
