EVENTS COORDINATOR
The Events Coordinator is responsible for the oversight, planning & execution of networking and education events; and for assisting the Manager of Special Events with planning and execution of other Temecula Valley Chamber of Commerce Events. The Events Coordinator reports directly to the Special Events Manager.
ESSENTIAL OBJECTIVES:
The Events Coordinator is responsible for the following primary objectives:
● Responsible for Planning, Preparing, Organizing and Implementing all Networking and Education Events: ○ Monthly Evening Mixer Events
○ Monthly Coffee Connection Events
○ Monthly Education Workshops
○ Student of the Month Events
○ Ad hoc Events
● Responsible for reporting to the Special Events Manager regularly with updates related to event planning, budget, sponsorships, and event outcomes.
● Responsible for supporting the Manager of Events, as needed, on additional Events.
● Responsible for ensuring that Members are aware of above-listed events and that they are warmly greeted.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
The Events Coordinator is responsible for the following, specific duties:
● Planning and Execution of all above-stated events by:
o Securing sponsors in advance of events.
o Organizing event timelines, emcee’s, presenters, & raffles.
o Works with the Marketing Manager to create and distribute event flyers.
o Setting up and breaking down events (including the provision of all elements necessary for the event, event speakers, members & attendees).
o Compiling reservation lists for all events, noting payment status and other information as appropriate.
o Tracking all event attendees via GrowthZone, or with intent to update GrowthZone;
o Work within event budget; Organize Volunteer Assistance
o Collect and recognize raffle prize donations.
o Update the monthly events e-newsletter; o Ensure events are marketed via print, online marketing channels, & social media.
● Cross Collaborate Within TVCC:
o Work with Membership Department.
▪ Identify non-member, event attendees.
▪ Track information related to Membership Attendance/Participation
▪ Update GrowthZone with member notes on sponsorship, volunteerism, & donations
o Work with Finance/Operations Department:
▪ Track event expenses & payables.
▪ Update Budget for each event.
▪ Coordinate Staffing.
o Work with Special Events Manager:
▪ Report status of event planning, budget, and/or noteworthy effects.
▪ Respond to needs from the Special Events Manager, as they arise.
● Coordinate with Sponsors, Member Businesses, and Vendors to produce events.
o Clearly communicate with sponsors over what is required of them, and what they will receive for
sponsorship. Ensure sponsorship funds are collected.
o Communicate with Vendors, articulate what is expected of them (what they are/are not responsible for providing, service expectations, etc.); timelines & deadlines; and coordinate invoicing and payment with vendors.
o Communicate with Membership so that they are aware of Events, so that they feel welcomed and comfortable at events; and ensure that events provide quality atmosphere and outcomes for members.
● The Events Coordinator should expect to be present at all Events it plans; and should also expect to be present at all major, annual events.
QUALIFICATIONS:
● Proficient in Microsoft Word, Excel, Constant Contact, Outlook and Publisher.
● Proficient in GrowthZone or experienced with using a CRM.
● Strong Communication & Organizational Skills.
● Strong Delegation & Coordination Skills.
● Ability to work on multiple events simultaneously.
● Inherently a strong communicator, problem solver, and relational.
● Possess a strong ethical business attitude.
● Naturallyconfident, trustworthy, fun, motivated, optimistic, and coachable.
● Flexibility in hours, responsibilities and a willingness to take on additional duties.
WORK ENVIRONMENT
The position may work in a professional office environment, and/or work on event sites.
The physical demands described below are representative of those that must be met by the Events Coordinator, to successfully perform the essential functions of this job:
● Bend, lift, carry, climb, push, stand, sit, walk, hear, and speak.
● Tolerate exposure to heat, cold, dust, humidity, and noise.
This is a non-exempt, full-time position, with an expected 40 hours per week. Event Coordinators should expect scheduled hours to fluctuate based on events schedules.

Pay: $23.00 - $25.00 per hour
