We are a continuous Medical Education Organization working in the field for over a decade. We have been involved in planning & conducting workshops, programs, and conferences for different medical specialties across India. We have tie-ups in India and globally.
JOB RESPONSIBILITIES
• Brainstorming and implementing event plans and concepts and managing pre-event planning, event execution and post event reporting.
• Liaising and negotiating with venues for booking and vendors for other requirements (catering, decorators, hotel (venue) staff and choose the best combination of quality and cost
• Excellent knowledge of Planning & Execution of Audio- Visuals, Branding and Production in Healthcare Conferences
• Ability to work on new ideas, concepts and creativity in product launches & events.
• Along with managing branding and communication, manage/overlook all event operations (preparations at the venue, event setup which includes but not limited to stalls, hall, seating arrangement and other meeting requirements etc.)
• Do final checks at the venue before and after the event. Also having a sharp eye to detail during the conference
• Obtaining permits (as per requirement)
• Work closely with the other team members
• Single point of Contact for all domestic hotel arrangements, Expertise in managing ticketing, reservation, re-issuance, group booking, visa formalities, hotel booking, Forex management & travel insurance.
• Co-ordination with travel agents, hotels, transporters and airlines to book the tickets on requirement of internal department; and managing hotel booking
• Negotiate on best rates through vendors and maintain a relationship with hotels and agencies for recurring events.
• Conduct final inspections on the day of the event to ensure everything adheres to the client’s standards.
• Ensure accurate follow up and communication both internally and to the guest / client.
• Maintains high standards of personal appearance and grooming, which include compliance with the dress code.
• Handling post-event reports including account with hotel and banquet team.
QUALIFICATIONS REQUIRED
• Bachelor’s degree in Hotel Management, Hospitality Management or relevant field
• 2- 3 years of experience as an Event Coordinator, Event Planner, or a similar role
• Quick decision making and crisis management skills
• Sharp analytical skills
• Good oral and written communication skills
• Proficiency in Microsoft Office
• Excellent attention to detail
• Strong negotiation and interpersonal skills
• Excellent customer service skills
• Good time management skills
• Outstanding communication and negotiation ability
