Job Description
As the Events Planner you will be the key contact for all internal and external events. You will be the first point of contact and will own the Event from initial enquiry through to completion of the event. You will be responsible for ensuring that our clients receive a World Class Service through your excellent communication skills, your passion for service and your attention to details.
Main duties and responsibilities
The role
Maintain a working knowledge of the operation and service capabilities of all other services as they relate to the service of Events
Plan, organise and coordinate the assigned Events, to include all catering, meeting room setup, activities, and to ensure proper end of event billing is maintained
To produce a function sheet / order of works document events detailing meeting specifics – room details, audio visual requirements and catering specifics.
To be available on the day of the Event to ensure that the event runs smoothly and World Class Service is delivered
To ensure that all services required are pre-booked
To ensure that the system database is accurate and any updates are added to the system in a timely manner.
To accurately record all booking information onto the room booking tool for all events, to include Catering and Audio Visual requirements
Communicate effectively both verbally and in writing. Compose clear, well-written, professional correspondence and other written communication
To maintain an organised and tidy work area
Present a professional appearance and adhere to the Baxterstorey dress code policy
To action all emails according to the agreed SLA’s response time
Support in innovative and efficient ways in which to deliver world class service and make recommendations to implement

Escalate any issues or concerns immediately to Senior Event Planner
The purpose of this role profile is to focus attention on the most important aspects of the role of the Events Planner. It is not intended to be a complete list of every duty and it is therefore expected that the day-to-day performance of the job will include tasks not listed above.
Qualifications
Experience in event planning within a high-end venue, hotel, or catering company Is preferable not essential.
Excellent communication, negotiation, and relationship-building skills.
A passion for delivering exceptional events and client experiences.
Highly organised, with strong attention to detail and the ability to multitask.
Knowledge of London’s events and hospitality market is an advantage.
