Position Overview
Join our dynamic team as a Full-Time Private Events Planner, where you will play a pivotal role in understanding and materializing our clients’ aspirations for a diverse array of events, including meetings, conferences, and special gatherings. You will be instrumental in orchestrating all necessary arrangements to transform client visions into reality, reporting directly to the National Private Events Director.
Key Responsibilities
• Engage with clients to thoroughly understand their event requirements, encompassing staffing, venue selection, catering, signage, programs, entertainment, security, and other specialized needs.
• Curate a list of potential event venues, accompany clients on site visits, and provide expert guidance on final selections.
• Act as the principal representative for clients on the day of the event, ensuring seamless execution before, during, and after the event.
• Prepare comprehensive pricing lists and negotiate contracts for services, dates, times, and spaces.
• Collaborate with clients and team members to create detailed event schedules, topics, and identify featured speakers.
• Ensure compliance with legal, safety, and health regulations for events, securing necessary permits from relevant authorities.
• Organize transportation logistics for guests, attendees, and speakers.
• Oversee the registration process for event participants.
• Manage all administrative tasks associated with the event, including financial operations, distribution of promotional materials, and addressing client inquiries.
• Maintain an up-to-date inventory of available venues, services, and pricing options.
• Stay informed about the latest trends and standards in event planning by attending industry seminars and engaging with other professionals.
• Perform additional related duties as assigned.
• Manage incoming leads throughout the sales process.

Qualifications
• A Bachelor’s degree in Hospitality, Meeting, Event Planning, or a related discipline is preferred.
• A minimum of two years of experience in Public Relations, Events, or Convention Services is preferred.
