Position Overview: The Real Estate Administrative Assistant plays a crucial role in supporting the efficient operation of a real estate office or department. This role involves handling a variety of administrative tasks, providing exceptional customer service, and assisting real estate professionals in their day-to-day activities.

Key Responsibilities:

Administrative Support:Manage office operations, including answering phones, handling emails, and maintaining office supplies.
Create, organize, and maintain both digital and physical files, ensuring accuracy and confidentiality.
Prepare and process real estate documents, contracts, and agreements.

Client Communication:Act as the first point of contact for clients, providing exceptional customer service and addressing inquiries.
Schedule property showings, meetings, and appointments on behalf of real estate agents or brokers.
Follow up with clients to gather information, provide updates, and ensure satisfaction.

Listing Management:Assist in creating property listings, including writing descriptions, taking and uploading photos, and managing online listings.
Monitor and update property listings on multiple real estate platforms and websites.

Transaction Coordination:Coordinate and track real estate transactions from start to finish, ensuring all documentation is complete and deadlines are met.
Liaise with title companies, lenders, inspectors, and other parties involved in transactions.
Maintain records of all transaction-related communications and documents.

Marketing Support:Assist with marketing efforts, including social media management, email campaigns, and print materials.
Help in the preparation of marketing presentations and materials for clients and prospects.

Financial Support:Assist with invoicing, expense tracking, and financial record-keeping.
Prepare financial reports and assist with budget management.

Research and Data Entry:Conduct market research to gather information on properties, neighborhoods, and market trends.
Input data into databases and spreadsheets accurately.

Qualifications:
• High school diploma or equivalent (some college coursework in business or real estate is a plus).
• Previous administrative or office experience, preferably in the real estate industry.
• Strong computer skills, including proficiency in Microsoft Office Suite and real estate software.
• Excellent organizational skills, attention to detail, and ability to multitask.
• Strong communication and interpersonal skills.
• Knowledge of real estate terminology and processes is an advantage.
• Ability to work independently and as part of a team.
