Did you know?

The Bank of Canada has established an alternate location for Bank operations in downtown Calgary, with over 100 employees. This position will be located at the Calgary Operational Site (COS) and will involve working closely with colleagues located at Head Office as well as those in other departments in Calgary.

What you will do

You play a vital role at COS, providing support and assistance to the Senior Director, COS and fiscal policy and you are responsible for the daily administration of the office. As the first point of contact for employees, stakeholders and visitors, you serve as the welcoming face of the organisation

Specifically, you will:

Provide administrative support to the Senior Director, COS and fiscal policy, prioritize and manage her inbox and calendar, schedule and control appointments, coordinate with various leaders and other EAAs

Assisting the Senior Director by tracking deliverables and due dates, adding reminders or blocking time in calendar to complete, bringing items up during regular touch base meetings

Coordinate travel arrangements and prepare expense claims for approval

Support meetings by planning with caterers to provide refreshments to attendees

Assist with onboarding new team members as well as temporary work arrangements of HO staff at COS (and vice versa)

Take initiative to enhance the efficiency and effectiveness of the office by proposing improvements, writing procedures, and reformatting and converting documents

Maintaining and update the COS filing systems and order necessary stationery supplies

You will be the back up for COS Team Lead, Office Management as required during absences

What you need to succeed

innovative problem solver who is open-minded, adaptable, and proactively works to overcome obstacles that may arise

Writing clearly and grammatically correct short documents (eg emails, letters, procedures) and can convey straightforward messages with tact

Anticipating and adapting to different clients’ needs, ask for clarification when required, attention to detail and quality of work

Good knowledge of Microsoft including Outlook, Word, Excel, PowerPoint, Sharepoint

Strong knowledge of office procedures and related policies

Able to follow processes and procedures surrounding protected and confidential documents and information

Ability to juggle competing demands by prioritizing, re-negotiating deadlines when applicable while ensuring quality

NOTE - Onsite presence required. 3 Days per week.

Nice-to-have

French considered a strong asset.

Your education and experience

The position requires a degree or certificate in office administration with at least 3 years of experience or an equivalent combination of education and experience may be considered.

Language requirement

The Bank’s work environment is conducive to the use of both of Canada’s official languages - English and French. The position language requirement is Level 5 (Fully Functional). If a qualified candidate who meets the language requirement of the position is not found, a qualified candidate who does not meet the language requirement may be considered. Training may be provided to help reach the required level. Both bilingual and unilingual candidates are encouraged to apply.

Hybrid Work Model

Salaries are based on qualifications and experience and typically range from $57,294 to $67,404 (job grade 12)

The Bank offers an incentive for successfully meeting expectations at 3 to 5% of your base salary. The Bank offers additional performance pay (2%) for those who exceed expectations. Exceptional performers who far exceed expectations may be eligible for higher performance pay.
