Executive Assistant

Summary: Pivotal role in empowering General Managers to effectively deliver on their responsibilities by working closely with senior leaders, the EA Network to enable operational & administrative effectiveness

Location: Sydney CBD

6 months fixed-term contract

Hybrid working environment, office in Sydney CBD

Offering starting salary of $99,938

About the Role

The Executive Assistant plays a pivotal role in empowering General Managers to effectively deliver on their responsibilities and goals by working closely with senior leaders and the Executive Assistant Network to enable operational and administrative effectiveness.

Duties

It’s an exciting time at icare where no two days are the same; as an Executive Assistant you will:

Effective diary management include screening meeting requests from internal and external stakeholders, negotiating scheduling times and resolving diary clashes in a way which facilitates optimal use of the General Managers’ time.

Light inbox monitoring for the General Managers to support informed decision making and planning, including notification of urgent emails and time-sensitive priorities.

Provide onboarding and offboarding logistical support for direct report team members of General Managers.

Manage information and coordinate follow up action using discretion, initiative and confidentiality to enable sensitive matters to be dealt with appropriately.

Effective administration operations support including managing and booking travel for General Managers as required, including coordinating approvals, itineraries and payment.

Provide event management support for the General Managers’ direct report team including coordination of logistics, catering, venue and tech equipment management, distribution of papers and liaising with guests.

Manage the processing component of procurement activities i.e. payment of invoices and creation of purchase requisitions as appropriate for General Managers.

Manage purchases via Purchase Card including completing the reconciliation process for General Managers.

Work collaboratively with the Executive Assistant and Assistant Network community, including sharing of technical knowledge and ways of working to drive efficiencies across teams.

Supporting General Managers’ teams with project related tasks as required in alignment with development goals.

Skills & Experience

Successful completion of relevant tertiary qualifications in administration or an equivalent discipline or equivalent knowledge and skills acquired through practical experience.

Highly proficient in Microsoft Office 365 Products

A broad range of experience in executive support in a corporate environment.

Strong organization and coordination skills

Ability to prioritize on behalf of the senior leader/s

Ability to manage stakeholders on behalf of the senior leader/s

Ability to solve problems

Ability to manage confidential information

Ability to build and maintain strong relationships and networks across the business
