Job Summary
We are seeking a highly organized, proactive, professional, and self-motivated Executive Assistant to provide comprehensive administrative support to senior management. The successful candidate will be provided with all the tools to succeed. This position reports directly to the President and CEO of the company.
The successful candidate will excel in managing calendars, coordinating projects, and handling a variety of office tasks with professionalism and efficiency, along with other executive duties. To be chosen for this role, you must have effective written and verbal communication skills with a high level of attention to detail. Strong computer and communication skills are preferred. In this role, you will provide general office management with a variety of clerical activities and related tasks.

General Responsibilities include (but are not limited to):
Provide administrative assistance with tasks delegated to, within the scope of administrative role.
Facilitate communication across departments through effective project coordination and customer service skills.
Ensuring all calendars are accurate and organized.
Scheduling and organizing meetings including but not limited to trade shows, company events etc.
Coordinating tradeshows including show inventory, booth furnishing, booking travel/lodging arrangements for owners, executives and Business Development Team
Promptly greeting clients and visitors when they arrive on-site at the office.
Handle phone etiquette on multi-line phone systems and serve as the first point of contact for visitors and callers.
Communicate with customers, vendors, employees, and other stakeholders via phone/email and/or in person.
Support office management duties such as front desk operations, organizing supplies, and maintaining an organized workspace.
Ability to adapt and manage changes in responsibilities as needed.
Key Responsibilities (in depth):
Calendar & Task Management
Manage and maintain executive calendars using Microsoft Outlook Calendar - scheduling meetings, appointments, and travel arrangements.
Prepare and organize weekly and monthly task reviews.
Take ownership of recording meeting minutes, correspondence, and report preparation.
Organize and maintain physical and digital records for executive projects.
Ensure seamless coordination for internal and external events.
Design & Marketing
Oversee web development and branding projects, ensuring deadlines are met.
Contribute to copywriting, social media strategy, and content creation.
Maintain brand consistency across materials for Rise Group and its subsidiaries.
Design and manage visual assets for campaigns, flyers, and outreach materials.
Human Resources
Oversee employee onboarding, offboarding, and HR compliance for multiple entities.
Collaborate on recruitment, performance reviews, and team metrics.
Develop and manage employee engagement and HR documentation processes.
Position Qualifications:
An associate degree in business, or related field is required. Bachelor’s degree preferred.
Exceptional organizational skills with the ability to multitask efficiently in a fast-paced environment.
Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook), Adobe Acrobat (PDF).
Professional phone etiquette with 3-4 years of experience managing multi-line phone systems.
Experience with task prioritization and project delegation.
Proficiency in Google Drive and Microsoft Teams.
Creative flair in web development, branding, and marketing projects.
Familiarity with HR processes and property management.
Must be a self-starter.
Must have a professional demeanor to interact with our company and our clients.
Effective written and verbal communication skills.
Excellent typing speed with accuracy; experience in proofreading and transcription.
Maintains high level of attention to detail.
Ability to work effectively within a team and independently.
Demonstrates experience in event planning, project coordination, and office management.
Strong clerical skills including filing, data entry, and document preparation.
Proven customer service skills with the ability to handle inquiries courteously and professionally.
Previous experience in administrative support roles such as executive administrative or personal assistant positions is highly desirable.
