Key skills:
• Fluency in spoken English

Education and Experience:
• Ideally the candidate must have a Bachelor's degree from a reputable institute.
• Overall experience of 3-4 years. Candidates with lesser but relevant experience will be considered.
• Experience in executive office management is required.
• General management experience preferred.
• Stability in past jobs will be an added advantage.

Key Responsibilities:
• Maintaining appointment schedules by planning and scheduling meetings, conferences, teleconferences, and travel.
• Managing personal tasks of the Co-founder/Managing Director including appointments, bookings etc.
• Opening, sorting, and distributing correspondence, including email, faxes, and snail mail.
• Prepare executive responses to routine memos, letters, or correspondence.
• Answering and directing calls to appropriate executives and parties, taking messages.
• Welcoming guests and customers by greeting them, in person or on the telephone; answering or directing inquiries for calls, national and international.
• Preparing reports, collecting and analyzing information; preparing presentations.
• Build learning about Athena and present the organisation to visitors and other stakeholders as needed.
• Preparing checks for signatures and review; coordinating finances, assisting with budget preparation.
• Ensuring operation of office equipment, ordering maintenance when necessary. Troubleshooting malfunction of office equipment.
• Maintaining inventory and office supplies. Anticipating office needs; evaluating new office products; place and often expediting orders when necessary.
• Contributing to team effort by accomplishing related results as needed.
• High level of discretion.
• Overseeing administrative policies within the organization and within the office; recommending changes as appropriate.
• Any other tasks as may be communicated from time to time
