Number of positions for this job: up to 1
Pay rate: from $35-$38 per hour
Days required: 5-6 days/week
Hours per week: min 30, max 40 hours per week
Responsibilities and Account abilities:
Executive Support: Complex diary management for the Director, email triage, and acting as a gatekeeper to ensure time is allocated to strategic priorities
Project Admin Support: Liaise between the office and installation teams. Track project variations, assist with contract amendments, and ensure documentation is filed correctly (experience with construction/project workflows is a huge plus)
Client & Stakeholder Relations: Be the voice of Awesome Kitchens. Handle client queries with professionalism and coordinate with suppliers, contractors, and designers
Documentation & Reporting: Prepare proposals, MOUs, and health & safety paperwork. Maintain digital filing systems (e.g., using AroFlo, Jobman, or similar industry tools is ideal, otherwise MS Office proficiency is required)
Finance Support: Assist with basic accounts payable, purchase orders, and job costing reconciliation in collaboration with the finance team
Strategic Support: Act as a business partner to the Director, Level analytical skills to review job profitability, track variations against budget, and identify process inefficiencies.
Data & Reporting: Move beyond traditional admin. Use your advanced commercial acumen to prepare management packs, forecast resource needs, and suggest operational improvements.
Job Requirement
Proven Experience: Minimum 3 years in an Executive Assistant or high-level admin role, ideally within Construction, Trades, or Project Management
Technical Skills: High proficiency in Microsoft 365 (Outlook, Teams, SharePoint) and project management software (or the ability to learn quickly)
Resilience: You can handle the pressure of changing deadlines (cabinetry delays? No problem) and shifting priorities.
Strong communication skills for interacting with customers and the dispatch team Self-motivated
Clean non-criminal record
Attention to Detail: You won't let a variation slip through the cracks, and your spelling and grammar are impeccable
NZ Full Driver’s License: You may occasionally need to visit sites or pick up supplies
Excellent problem-solving skills for dealing with unexpected situations
