We are seeking a dynamic and highly organized Executive Assistant / Business Office Manager to support executive leadership and oversee daily office operations.

What You’ll Do
This is not a traditional assistant role—you will serve as a key operational team member to leadership.
• Provide comprehensive executive administrative support, including calendar management, scheduling meetings, and coordinating appointments using Microsoft Outlook and Google Workspace
• Work directly with the Administrator to support daily surgery center operations
• Monitor daily schedules and proactively address any issues that may impact patients, staff, or workflow
• Oversee and support business office staff while helping maintain accountability and efficiency
• Train across all business office functions to ensure seamless coverage when needed
• Coordinate projects and internal initiatives from planning through execution
• Maintain employee files, credentialing records, and ensure compliance with documentation requirements
• Assist with HR-related processes, onboarding, and staff file management
• Post payments to patient accounts accurately and support billing workflows
• Assist with executive-level tasks such as document preparation, DocuSign coordination, and handling confidential information
• Serve as a key communication hub between departments to keep operations running smoothly
What We’re Looking For
• Proven experience as an Executive Assistant, Business Office Manager, or similar role
• Strong administrative background with exceptional organizational skills
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and office management systems (QuickBooks experience a plus)
• Ability to manage multiple priorities and meet deadlines in a fast-paced environment
• Strong problem-solving skills with a proactive, “figure-it-out” mindset
• Professional communication skills with excellent phone etiquette and interpersonal abilities
• High level of discretion when handling sensitive and confidential information
• Healthcare experience preferred (ambulatory surgery center experience a plus, but not required)

Schedule
• Monday–Friday
• 40 hours per week
• Semi-flexible scheduling
Compensation & Benefits
• $60,000 - $65,000 annual salary
• PTO accrual of 3.69 hours per pay period
• 40 hours of vacation after 90 days
