Overview of the Role:
We're looking for a career Executive Assistant to be the primary support to 4 Managing Directors within our Europe Infrastructure and Capital Projects (I&CP), including the head of the I&CP business unit. You will be overseeing their schedules, diary management, travel requirements, expenses and data entry into various systems etc.
This role will be based 5 days in the London office, with some opportunity to work from home 2-3 days a month when the head of business unit may be travelling.
This role will suit a career Executive Assistant (EA) with a number of years of EA experience, preferably in a professional services environment, working in an executive support capacity for senior management / C-suite stakeholders.
Responsibilities:
Executive Support:
Support the Business Unit head and Managing Directors to optimize their schedules and workflow.
Manage calendars, schedule meetings, and coordinate travel for Managing Directors
Handle correspondence including mailbox management
Act as the point of contact for clients and visitors.
Support onboarding and offboarding processes.
Proactively manage Senior team expenses.
Maintain Managing Director timesheet data on relevant systems.
Office Operations:
Help with maintaining office systems and procedures (excluding IT and building management).
Manage conference room bookings and technical requirements.
Coordinate catering for meetings and events.
Client Relationship Management:
Maintain strong relationships with key internal stakeholders.
Support MDs with Business Development admin activities such as conflict checks, invoice requests, Anti-money laundering clearance
Update and maintain client information and prospects in Salesforce.
Requirements:
You will be a career EA with a number of years experience, preferably in a professional services environment, working in an executive support capacity for senior management / C-suite stakeholders.
Excellent oral and written communication skills to effectively communicate and interact with team members, clients, and external clients/stakeholders.
Proficiency in advanced computer software applications including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Salesforce.
Ability to maintain a high level of professionalism even in challenging situations and high pressure interactions.
Strong attention to detail, time management and prioritisation skills.
Organised, detail-oriented and able to multi-task in a fast-paced environment, constantly prioritising and reassessing tasks.
Proactive and use critical thinking to solve problems.
Collaborative and team-oriented with a positive "can do" attitude.
Ability to work independently and as a collaborative team member.
Ability to be pro-active and involved in executive business dealings.
High level of interpersonal skills to handle sensitive and confidential information at maximum discretion.
Experience arranging complex travel arrangements and event co-ordination a plus.
Ideally an Italian or French speaker with professional level English
