Job Description
To provide support services to the COO, Americas, CIO, Americas and wider team as needed
Responsibilities
General support
• Provide timely and comprehensive support to the COO, including regularly performing a wide variety of support duties.
• Managing the COO s calendar, including making appointments, prioritizing the most sensitive matters and working with the various parties when conflicts arise.
• Organizing meetings, including scheduling, sending reminders and organizing catering or other special items/requests when necessary.
• Keeping the COO advised of time-sensitive and priority issues and ensuring appropriate follow-up.
• Manage and coordinate team diaries globally including arranging internal/external meetings and booking meeting rooms when appropriate.
• Assist in the preparation of correspondence, presentations, and reports including ensuring that such documentation is accurate and completed in a timely manner.
• Work with COO colleagues to ensure efficient management of the team (e.g., in relation to supplies/services) and efficient liaison with other departments.
• Involve and participate in ad-hoc projects as needed, including supporting other departments and senior managers/executives as needed.
Records management
• Draft agendas and meeting minutes and ensure timely dissemination to colleagues.
• Organise and maintain team files and contact databases in line with Group governance policies.
Cost management
• Timely preparation, reconciliation and submission of expense claims reports for approval and/or reimbursement.
• Timely submission of invoices for payment in ePro.
Travel support
• Arrange all travel and accommodation (international/domestic) with Group-approved travel agencies.
• Create daily itineraries for trips and schedule internal/external meetings.
Technology support
• Create IT tickets for team members and liaise with Tech Procurement teams to quickly resolve technology systems/device challenges.
• Submit mobile travel form to Technology Procurement team prior to international travel.
• Work with the Onboarding Specialist to ensure all technology (computer/phone/etc) have been ordered for new joiners and are quickly operational.

This includes understanding and ensuring compliance with, in letter and spirit, all applicable laws, regulations, guidelines and the Group Code of Conduct.

• Effectively and collaboratively identify, escalate, mitigate and resolve risk, conduct and compliance matters.

Qualifications
• Bachelor s degree preferred
• Proven administrative experience in a fast-paced environment
• Working knowledge of MS Word, Excel and PowerPoint, MS teams
• Exceptional writing, editing and proofreading skills.
• Strong communication and interpersonal skills
• Excellent organizational skills and ability to multi-task
• Strong attention to details.
• Demonstrated problem-solving and decision-making abilities.
• Ability to handle sensitive matters with discretion and confidentiality
• Exceptional time management skills and demonstrated ability to meet deadlines.

• Flexibility in working in either the Bank s NY or NJ offices consistent with the COO s work schedule.
