Description

Job Purpose:

As an Executive Assistant to the MD, you will play a crucial role in ensuring the MD's day-to-day activities run smoothly and efficiently. Thus, saving his time. You will provide high-level support to the MD, managing schedule, handling administrative tasks, and acting as a liaison between the MD and other team members.

Additionally, you will also be required to support other Directors of the firm along with departmental heads for their travel and other coordination action activities.

The ideal candidate will be highly organized, discreet, and capable of multitasking in a fast-paced and dynamic work environment.

Job Responsibilities:
• Calendar Management & Travel Coordination:
• Schedule and manage the MD's appointments, meetings, and travel arrangements.
• Act as the lead in preparation for quarterly/monthly Meetings, including tracking, monitoring and following the progress of open action items, drafting the agenda, setting the timetable for meeting and producing accurate minutes at each meeting.
• Prepare reports, presentations (In PPT) and other materials for meetings and other purposes.
• Arrange and coordinate domestic and international travel for the MD and other senior leaders including flights, accommodations, and itineraries.
• Administrative Support:
• Handle administrative tasks, including filing, document organization, and expense reporting etc
• Draft, proofread, and edit correspondence, emails, and other documents on behalf of the MD.
• Vendor management for various services as per need & requirement.
• Purchasing Stationary, Pantry items, medical kit etc
• Support in organising events, celebrations etc
• Single point of contact for day to day administrative activities.
• Perform other tasks and special projects as assigned by the MD to support the executive team and the organization's objectives.
• Research Work:
• Identify, study, research on companies, people and industry sectors for preparing information papers for executing mandate assignments.
• Collect, gather, and compile data from various sources, which may include surveys, interviews, databases, documents, online sources, and telephonic research.
• Confidentiality:
• Maintain the highest level of confidentiality & integrity regarding sensitive information and documents.
