• 1013+6 ## Job Details **Job Title:** Executive Assistant ### : We are seeking a highly organized and proactive Executive Assistant (EA) to support senior leadership in a dynamic and fast-paced environment. The EA will manage administrative tasks, coordinate meetings, and facilitate seamless communication across departments. The ideal candidate will be detail-oriented, capable of handling multiple priorities, and have excellent communication and organizational skills. ### Key Responsibilities: - **Calendar Management:** Effectively manage the executives calendar, including scheduling meetings, conference calls, and appointments. - **Travel Arrangements:** Organize domestic and international travel plans, including flights, accommodation, and itineraries. - **Communication Management:** Act as the first point of contact for internal and external communications, screening calls, emails, and other correspondence. - **Document Preparation:** Prepare, edit, and review reports, presentations, and other documents for meetings and presentations. - **Meeting Coordination:** Plan and coordinate meetings, including preparing agendas, taking minutes, and following up on action items. - **File and Record Maintenance:** Develop and maintain an efficient documentation and filing system, ensuring confidential materials are securely stored. - **Project Support:** Assist in managing various projects, including tracking timelines, coordinating with team members, and providing status updates. - **Client Relationship Management:** Liaise with key stakeholders and clients on behalf of the executive, ensuring smooth communication and relationship management. - **Office Coordination:** Collaborate with the office staff to ensure the office runs smoothly, including ordering supplies, maintaining equipment, and addressing any administrative issues. ### Qualifications:

• Bachelors degree in Business Administration or a related field.

• Minimum 3-5 years of experience as an Executive Assistant or in a similar role, supporting senior leadership.

• Excellent verbal and written communication skills.

• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

• Strong organizational and time-management skills with the ability to multitask and prioritize tasks.

• Ability to handle confidential information with discretion and professionalism.

• Proactive, self-motivated, and capable of working independently.

• Strong interpersonal skills and the ability to build positive relationships with stakeholders. ### Preferred Skills:

• Experience in coordinating travel arrangements and managing complex schedules.

• Familiarity with project management tools and techniques.
