Salary: $55,000 - $75,000

SUMMARY DESCRIPTION
The Executive Assistant, under the supervision of the Deputy Executive Director, provides support and assistance to the Executive Director, Executive Leadership Team, and Board of Directors on matters affecting the New York Civil Liberties Union‘s efforts to promote and defend civil rights and civil liberties in the legislative and public policy arenas. This position regularly handles confidential information and materials.



ROLES & RESPONSIBILITIES
Performs administrative support duties including confidential correspondence, scheduling, e-mail and phone communication.
Coordinates office activities, schedules meetings, interviews, speaking engagements and catering as requested.
Maintains and updates contact lists.
Maintains and updates executive and organizational files and records – both electronic and paper.
Handles travel arrangements and registration for conferences and other events.
Prepares reimbursement requests and reconciles monthly expenses for the Executive Director and Special Assistant to the ED.
Maintains calendar for Executive Director.
Keeps track of vacations and time off for the Executive Director.
Anticipates future scheduling and preparation needs, coordinates preparation with the Special Assistant, and keeps the Executive Director organized and informed.
Prepares and distributes meeting notes and other materials for the Executive Office.
Maintains confidential files and provides administrative support to the Board of Directors, including the Board leaders and various board committees.
Follow procedures in ED manual and revise as needed.
Supports other administrative functions as needed.
This position must be present in the office at least 3 days/week and other times as needed.


QUALIFICATIONS
1-3 years of Executive Assistant or relevant experience.
Strong administrative, organizational and time management skills.
Strong communication skills including writing and proof-reading.
Must be detail-oriented and adept at managing multiple tasks simultaneously.
Excellent communication and interpersonal skills.
Must be proficient in Microsoft Office Suite including Outlook, Word, Google Drive, Zoom and related technology.
Must be a self-starter, take the initiative and work well in a fast-paced environment.
Ability to work independently as well as within a team.
Commitment to racial and social justice issues; fluency with historical and contemporary work of the ACLU and peer organizations preferred.
