Job Overview
We are looking for a proactive, highly organized Executive Assistant (Operations) to support our Operations Manager and help keep day-to-day office and operations tasks running smoothly. This role requires someone who can confidently manage administrative responsibilities, assist with clerical work, provide customer support when needed, and handle light bookkeeping tasks.This is a great opportunity for someone who is detail oriented, reliable, and enjoys being the person who keeps everything moving behind the scenes.
Key Responsibilities
Executive & Administrative Support
Provide direct day-to-day support to the Operations Manager.
Help maintain organized systems for documents, records, and internal trackers.
Light Bookkeeping & Finance Support
Assist with basic bookkeeping tasks.
Support Accounts Payable/Receivable processes as needed (invoicing, payment follow-ups, receipts).
Work in QuickBooks at a basic level to help keep records accurate and current.
Clerical & Office Operations
Assist with filing, scanning, data entry, and general clerical support.
Manage mail, shipping/receiving coordination, and light office supply tracking.
Help keep shared spaces organized and operations running smoothly.
Customer Service Support (as needed)
Respond to basic customer inquiries professionally via email/phone and route issues to the right team member.
Help support client communication and internal follow-through.
Team Collaboration & Special Projects
Work cross-functionally with departments to support operations needs.
Assist with special projects, deadlines, and internal process improvements as assigned.
QualificationsEducation
High school diploma or equivalent required. (Associate's degree or additional coursework is a plus.)
Experience
Previous experience as an Executive Assistant, Administrative Assistant, Office Manager, or similar role.
Experience with basic bookkeeping and/or invoicing is a strong plus.
Skills
Strong organizational and time management skills; able to prioritize competing tasks.
Excellent written and verbal communication.
Comfortable with clerical tasks and detail-heavy work.
Basic QuickBooks proficiency required.
Proficiency with Google Suite.
Ability to maintain confidentiality and handle sensitive information with discretion.
Attributes
