The responsibilities:

Provide a high level of executive and administration support to facilitate the Dean's ability to effectively lead the department

Maintain an in-depth awareness of the issues and projects lead by the Dean to prioritise and organise meetings and anticipate needs

Schedule Board and Committee meetings; draft agendas; compile and distribute presentation materials, coordinate inquiries, record and compile meeting minutes and follow up meeting actions /resolutions

Prepare information for meetings with staff and outside parties

Liaise with internal and external stakeholders on confidential and critical matters

Contribute to the development of office policies and procedures for improved workflow

Establish and maintain an appropriate record keeping system utilising TRIM

Assist with new employee onboarding processes

Coordinate the inventory and maintenance of all office assets, supplies and consumables

Process corporate accounts and credit card reconciliations in line with procedures

Maintain cleanliness of office and kitchen facilities

Other duties as directed

The ideal candidate will have:

Substantial administrative and executive experience at an appropriate level

Excellent verbal and written communication skills

Highly developed organisational skills and the demonstrated ability to set priorities and meet deadlines

Proficiency in a range of computing skills including word processing, spreadsheets, databases, internet and email

Ability to work independently, show initiative and work productively as part of a team

Excellent time management skills and attention to detail

Strong interpersonal skills and the ability to build relationships with stakeholders

Ability to maintain strict confidentiality and discretion

Demonstrated understanding of and commitment to equity, diversity and inclusion

Ability to complete a high volume of tasks and projects with little or no guidance

Must have the rights to work in Australia and be willing to undertake a Criminal History Check

This pay rate is inclusive of mandatory 25% casual loading
