Job Description
Job Purpose:
The Executive Assistant supports individuals or teams by managing correspondence, calendars, travel arrangements, meetings, and performing various administrative tasks.
Key Responsibilities:
Support Directors and Managing Directors, ensuring alignment with company policies and procedures.
Manage complex travel arrangements (flights, hotels, visas) using Concur; prepare travel schedules and agendas.
Coordinate calendars, internal and external meetings, and events using Velocity.
Assist with expense reporting, supplier invoices, and procurement systems.
Provide phone and email coverage, draft responses, and manage sensitive information.
Organize presentations, spreadsheets, reports, and ad hoc projects.
Handle logistics such as couriers, mail, supplies, and office management tasks.
Offer holiday/sickness coverage for team members and maintain a full-time in-office presence.
Skills & Experience:
Experience: Prior Executive Assistant experience.
Skills: Advanced Microsoft Office proficiency; familiarity with Concur, Velocity, and Procure to Pay systems.
Attributes: Proactive, organized, team-oriented, and reliable under pressure.
Interpersonal: Strong communication, relationship-building, and multitasking abilities.
Qualifications:
Minimum 5+ years in a similar role.
Bachelor's degree or equivalent preferred.
Competencies:
Quick learner with adaptability to new systems and processes.
Composed, resourceful, and able to manage multiple priorities effectively.
Experience working in a team environment.
