Job Description
We are seeking a highly organised and proactive Executive Assistant to provide dedicated support to our Real Estate Partners and Executive Directors. This role encompasses a range of responsibilities including managing diaries and travel arrangements, word processing, and general administrative coordination. In addition, the Executive Assistant will extend their support to wider teams, ensuring smooth day-to-day operations and helping maintain a high standard of service across the organisation.
Key Responsibilities:
Manage diaries, arrange meetings, and communicate with VIP clients and C-suite executives.
Prepare presentations, reports, and correspondence for senior leadership.
Coordinate travel and accommodation for executives.
Organize client functions, marketing events, and meetings, including technical setup and catering.
Handle incoming calls and emails, ensuring prompt action and follow-up.
Assist with expense reports, timesheets, invoicing, WIP reports, and CRM updates.
Assist with group projects and research requests as required.
Provide general administrative support, including document preparation, photocopying, and creating reports.
Qualifications
Previous experience as an Executive Assistant in a professional services environment preferred.
Exceptional organisational skills and strong attention to detail.
Proven ability to manage multiple responsibilities, demonstrate initiative, and take a proactive approach.
Ability to interact in a professional manner at all times, with strong verbal, interpersonal and communication skills.
PC proficient including advanced Microsoft Office (Word, Excel, PowerPoint and Outlook).
Confident in multiple technology systems including SharePoint, video conferencing and exposure to CRM beneficial.
Skilled in multitasking, managing and meeting competing deadlines.
Ability to work well under pressure.
Capable of working independently and collaboratively within a dynamic team setting.
Flexibility, in relation to working hours, as well as being able to change priorities and tasks as required.
Ability to adopt a ‘hands on’ approach.
