Position: Executive Assistant to CEO

Role Overview:
We are seeking a highly competent, emotionally mature, and trustworthy Executive Assistant to work closely with the CEO. This role demands discretion, financial discipline, strong negotiation ability, and long-term commitment. The EA will act as a strategic support partner, not just an administrative resource.
Core Responsibilities
Calendar Management:
Own and manage the CEO’s professional and personal schedules, meetings, correspondence, calls, and follow-ups
Prioritize requests, manage information flow, and coordinate seamlessly with senior stakeholders
Serve as a point of coordination between the CEO and internal/external teams
Travel & Logistics:
Independently manage end-to-end travel planning, including flights, stays, transportation, and meals
Handle last-minute changes calmly and efficiently
Administrative, Financial & Process Ownership
Manage budgets, expenses, reimbursements, and vendor coordination with accuracy and cost awareness
Negotiate with vendors, service providers, and partners where required
Set up, maintain, and continuously improve internal processes, documentation, and filing systems
Prepare spreadsheets, reports, and structured records for decision-making
Confidentiality & Professional Integrity:
Handle sensitive company and personal matters with absolute confidentiality, honesty, and discretion
Maintain high professional standards in communication and conduct
Team Coordination & Events
Organize internal communication, leadership follow-ups, and team coordination
Plan and execute internal meetings, off-sites, and events
Personal Assistance & Availability
Support the CEO with personal and professional tasks requiring trust and reliability
Be available for urgent requirements, including occasional support outside standard working hours
Critical Skills & Non-Negotiable Requirements:
Proven experience managing budgets, expenses, and reimbursements, with strong financial discipline
Demonstrated ability to negotiate with vendors and service providers
Hands-on experience in building and managing internal processes, documentation, and filing systems
Emotionally mature, dependable, and stable professional background
Clear record of job continuity and long-term roles (frequent job changes will not be considered)
High integrity — honest, grounded, and comfortable working in close proximity with leadership
Experience & Competency Requirements
Minimum 1+ years of experience reporting directly to senior leadership or founders
Excellent written and verbal communication skills
Knowledge about Ms Office, Callender Management, Stakeholder coordination.
Strong time management, prioritization, and multitasking abilities
High proficiency with office productivity tools and quick adaptability to new systems
Job Type: Full-time
Pay: ₹25,000.00 - ₹30,000.00 per month
