About The Role
The Executive Assistant will provide executive level support and coordination for the General Manager: Shared Services, ensuring smooth and effective administration.
Key Responsibilities
Maintenance and management of electronic diaries
Email management including actioning and delegating
Management for internal and external events – will be part of the events committee supporting Branch Coordinators
Provide day to day executive level support
Arrange and coordinate meetings
Prepare agendas, reports, minutes and other documents requested meetings
Manage all facets of local and international travel bookings
General administrative support including reports, presentations, document processing, expense and credit card reconciliations
Collaborate closely with the EA team whilst serving as a key partner to the wider business
Billing Management for Department systems
Adhoc office tasks and project management
Compile various departmental reports
Adhoc PA Duties
About You
Minimum 3 year experience supporting C-Suite level executives
Intermediate in the Microsoft Office Suite, including Microsoft Word, Excel & PowerPoint skills
Current Drivers licence and car essential
Outstanding organisational & time management skills
High level of confidentiality, discretion and professionalism
Lead with empathy
Strong problem solving skills
Demonstrates the ability to quickly learn and adapt to new systems and processes.
Takes ownership of responsibilities, proactively using initiative to resolve challenges and improve efficiency.
Ability to multi-task, priorities & juggle responsibilities
High attention to detail
Highly articulate with exceptional verbal, written & presentation skills
Confident working in a fast paced, dynamic environment with varied workload
Good interpersonal skills, outgoing, friendly and able to engage with a range of people
Highly motivated, self-sufficient and reliable
