About the Role
This is a unique dual-function role providing high-level professional secretariat support to the Board and Board Sub-Committees, alongside executive administration support to the Executive Team.
As a key member of our Executive Administration team, you will play a critical role in ensuring the smooth operation of Board governance processes while also supporting day-to-day executive functions. You will work closely with the CEO, Board Chair, and Executive Team, contributing to organisational effectiveness, compliance, and strategic outcomes.
This role is ideal for someone who is detail-oriented, proactive, and thrives in a position requiring discretion, professionalism, and strong stakeholder engagement.
This is a permanent part-time role (0.6 FTE), working three days a week - and requires flexibility to work around the SYC board's needs.
What You’ll Do
Board & Governance Support
Coordinate and manage Board and Committee meetings, including agendas, papers, and logistics
Take accurate minutes and track action items to completion
Support the development and maintenance of Board policies, procedures, and governance processes
Ensure compliance with legal and governance requirements
Maintain Board records, registers and documentation
Support Board member onboarding, induction and performance review processes
Liaise with Board members, Committee Chairs and key stakeholders
Executive Administration
Provide proactive diary and email management for the Executive Team
Coordinate meetings, travel, events and stakeholder engagements
Prepare correspondence, reports, presentations, and briefing materials
Support financial administration, including invoicing and reconciliations
Act as a key point of contact for internal and external stakeholders
Assist with events, site visits, and organisational activities
About You
You are a highly capable and professional administrator who can operate confidently at a senior level, balancing governance responsibilities with executive support.
Proven experience in a senior Executive Assistant or similar role
Strong organisational skills with the ability to manage competing priorities
High attention to detail, particularly in preparing minutes, reports, and Board documentation
Excellent written and verbal communication skills
Strong interpersonal skills with the ability to build relationships with senior stakeholders
Proactive, adaptable, and solutions-focused
High level of integrity, discretion, and confidentiality
Comfortable working both independently and collaboratively
Key Requirements
Experience supporting Boards or Committees
Knowledge of governance principles and processes
Willing to complete a Working with Children Check and National Police Check
Flexibility to work outside normal hours on occasion to support Board operations
Eligible to work in Australia
Desirable
Experience in the not-for-profit or community services sector
Understanding of government structures and legislation
Current driver’s licence and willingness to travel if required
