Job Description
We are seeking a highly organized and proactive Executive Assistant to support the CEO of our organization. This role requires a professional with exceptional administrative skills, attention to detail, and the ability to manage multiple priorities efficiently. The Executive Assistant will serve as a key point of contact for internal and external stakeholders, providing comprehensive administrative and project coordination support to ensure smooth daily operations and strategic initiatives.
Responsibilities
Manage the CEO’s calendar, schedule appointments, and coordinate meetings using Microsoft Outlook Calendar and Google Workspace.
Prepare and edit correspondence, reports, presentations, and other documents with high accuracy, including proofreading and transcription tasks.
Handle phone calls with professionalism and maintain multi-line phone systems with excellent phone etiquette.
Organize and coordinate events, meetings, and travel arrangements for the CEO, including logistics planning and execution.
Assist with bookkeeping, invoicing, data entry, and basic QuickBooks management to support financial record keeping.
Oversee office management duties such as filing, document organization, front desk responsibilities, and maintaining office supplies.
Support project coordination efforts across various departments to ensure timely completion of initiatives.
Draft agendas, take meeting minutes, and follow up on action items to facilitate effective communication.
Utilize office software including Microsoft Office Suite (Word, Excel, PowerPoint), DocuSign for electronic signatures, and other relevant tools for document management.
Qualifications
Proven experience as an executive assistant or personal assistant supporting C-level executives in a fast-paced environment.
Strong organizational skills with the ability to prioritize tasks effectively.
Excellent written and verbal communication skills with professional phone etiquette.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs), Microsoft Outlook Calendar, and familiarity with multi-line phone systems.
Experience with bookkeeping software such as QuickBooks and basic data entry skills.
Demonstrated ability in event planning and project coordination.
Office management experience including filing systems and front desk operations.
High level of computer literacy with attention to detail in proofreading and transcription tasks.
