Mumbai Academy of Moving Image (MAMI), India’s leading international film festival organisation, is seeking a proactive, highly organised, and detail-oriented Executive Assistant to the Chairman.

This role requires an individual with discretion, initiative, and exceptional communication skills who can support the Chairman in driving the vision and operations of the organisation, while also ensuring seamless day-to-day coordination across teams and stakeholders.

Key Responsibilities

Provide comprehensive administrative and executive support to the Chairman, including managing schedules, appointments, correspondence, and travel arrangements.
Prepare, review, and manage documents, reports, presentations, and briefing notes as required by the Chairman.
Coordinate high-level internal and external meetings, including Board of Trustees and General Body sessions, ensuring accurate documentation, timely follow-ups, and clear communication.
Serve as a key liaison between the Chairman and internal teams, trustees, partners, sponsors, and external stakeholders.
Track and manage deadlines, deliverables, and priorities to ensure smooth progress across ongoing projects and festival operations.
Handle confidential information with the utmost discretion and professionalism.
Provide on-ground support during key phases of the festival and related programmes, including hospitality, guest relations, and special events.
Qualifications

Bachelor’s degree required; advanced degree or specialised training in administration, management, or the arts/media preferred.
Minimum 5 years of professional experience, with prior experience in an executive assistant or senior administrative role; familiarity with the arts, media, or not-for-profit sectors is a plus.
Outstanding organisational, time-management, and multitasking skills.
Strong written and verbal communication abilities with a polished, professional demeanour.
High proficiency in Microsoft Office, Google Workspace, and other digital productivity tools.
Demonstrated ability to work independently, exercise judgment, and adapt to dynamic and high-pressure environments.
