Summary:
We are seeking a driven and highly organized individual to join us as an Executive Assistant to the Director – Collaborations and Coalitions. The role entails managing a variety of responsibilities crucial to the success of the Director’s work. This includes scheduling and managing meetings, preparing agendas, and recording minutes, as well as travelling with the director to appointments across Delhi NCR, Pan-India and Globally, ensuring seamless coordination with internal and external stakeholders. The position requires analysing, managing, and monitoring a diverse range of correspondence and documentation, often of a confidential and sensitive nature. Additionally, the Executive Assistant will be responsible for completing critical deliverables with a hands-on approach, such as drafting acknowledgment letters, personal correspondence, and other essential tasks that support the Director’s ability to lead the organization effectively.
Key Responsibilities:
1. Appointments and Calendar Management
• Prioritize appointments and coordinate requests from high-level visitors.
• Organize and manage agendas for senior management meetings, workshops, and off-site events.
• Take minutes during meetings and follow up on the implementation of decisions.
• Actively participate in internal and external meetings within assigned areas.
• Draft, prepare, and finalize correspondence, including non-routine communications requiring detailed research.
• Plan and execute travel, preparing for and accompanying the Director – Coalitions and Collaborations to appointments across cities both Pan-India and globally.
2. Communication and Stakeholder Management
• Act as the central point of contact among executives, employees, donors, and external partners.
• Facilitate cross-divisional coordination for communications, partnerships, and outreach plans.
• Manage and analyse diverse correspondence, addressing confidential and sensitive issues with discretion.
• Draft and clear correspondence for the Director’s signature, ensuring accuracy and compliance with organizational standards.
• Receive and respond to inquiries in a timely and professional manner.
3. Process Improvement and Strategic Support
• Evaluate current work methods and propose actionable improvements.
• Support the Strategic Initiatives team in coordinating outreach and field activities.
• Maintain confidentiality while managing sensitive information and competing priorities.
• Draft acknowledgment letters, personal correspondence, and reports to support the Director’s leadership.
• Ensure compliance with applicable regulations related to board and committee matters.
What We’re Looking For:
• A bachelor's degree in a relevant field from an accredited institution.
• At least 2 years of work experience in a communications or administrative role.
• Exceptional organizational and time-management skills.
• Strong written and verbal communication abilities in both Hindi and English.
• Proficiency in handling high-pressure situations and multitasking in a fast-paced environment.
• A proactive, forward-thinking mindset with a knack for problem-solving.
• Familiarity with administrative processes, project management, and stakeholder engagement.
