Role Description
We operate in a high-intensity environment where clarity, speed, and trust are non-negotiable. We are seeking a world-class Executive Assistant to partner with our Founder & Managing Director in driving execution, alignment, and rhythm across InspireXT.
This is not a traditional administrative role. You will sit at the intersection of strategy, execution, and leadership enablement, acting as a multiplier who matches the MD's energy, speed, and contextual awareness. You'll ensure the right priorities move fast, the right conversations happen, and the organization runs with clarity and precision.
You'll coordinate leadership logistics, engage with internal and external stakeholders, and bring structure to fast-moving priorities. The role demands agility, discretion, and a proactive mindset, with opportunities to grow into strategic and operational areas.
Job Location - Pune (On-site)
Key Responsibilities
Manage complex calendars, meetings, travel, and logistics with precision and foresight.
Anticipate needs, resolve conflicts, and create calm structure in a dynamic environment.
Act as a trusted liaison between leadership, internal teams, and external partners.
Drive follow-ups on strategic actions and ensure closure.
Prepare, structure, and polish communications with high attention to tone and context.
Represent the MD with professionalism, discretion, and maturity.
Navigate multiple time zones, high-intensity schedules, and competing priorities.
Identify and execute process improvements that enhance leadership efficiency.
Handle sensitive information with the highest level of confidentiality.
Organize internal and off-site events, team communications, and documentation.
Support strategic initiatives and negotiate on behalf of leadership when required.
Requirements
5 years of experience supporting senior leaders in fast-paced environments.
Excellent written and verbal communication skills.
Strong contextual intelligence and cultural awareness.
Proficiency with modern productivity and AI-driven collaboration tools.
Calm under pressure, structured in execution, fast in learning.
High integrity, discretion, and trustworthiness.
Pune-based and able to work full-time from the office.
Willingness to work extended hours when required to align with global leadership operations.
Ideal Traits - We're looking for someone who:
Moves fast but thinks clearly.
Anticipates problems and quietly solves them before they escalate.
Communicates crisply and confidently.
Reads context, not just instructions.
Brings calm energy, precision, and pride to their craft.
Treats confidentiality as sacred.
Thrives in intensity, not routine.
Who Should Not Apply - This role is not for you if:
You need rigid work hours and predictable routines.
You're uncomfortable with high expectations and fast context shifts.
You prefer being told what to do instead of taking initiative.
You see this purely as an admin role with no appetite for growth.
You find ambiguity stressful rather than stimulating.
What We Offer -
A high-trust partnership with the Founder & MD.
Front-row seat to leadership strategy and decision-making.
Exposure to global operations and scale-up dynamics.
A culture that values ownership, urgency, and high standards.
Opportunities to grow beyond execution into operational or strategic roles.
