Job Description
About the role
An opportunity exists for a high-caliber Executive Assistant to provide strategic administrative and operational support to the Group Chief Financial Officer (GCFO). This role is a critical conduit in the finance function, enabling the delivery of global fiscal priorities through proactive, commercially-minded, and confidential support.
The position requires exceptional judgment, a "forward-thinking" mindset, and the ability to operate effectively within a fast-paced, international corporate environment.
Accountabilities
Provide high-level administrative and office management support to the Group CFO, acting as a professional extension of their office.
Establish and maintain a seamless operating rhythm, including complex diary management across multiple time zones and coordination of frequent international and domestic travel.
Oversee end-to-end travel itineraries, ensuring the GCFO is supported through cross-border requirements, visa management, and local ground logistics in global markets.
Prepare high-stakes board reports, and financial briefing materials involving highly sensitive and market-discretionary information.
Act as the primary point of contact for internal and external stakeholders, including Board members, auditors, and international partners.
Support the prioritization of competing financial deadlines (e.g., EOFY, quarterly reporting) and manage the GCFO’s signature/approval pipeline with full context and rigor.
Ensure all executive meetings are supported by structured agendas, technical pre-reads, and robust action tracking to ensure audit and compliance commitments are met.
Manage complex expense reconciliations, multi-currency claims, and departmental budget monitoring in line with company policy.
What experience you’ll bring
5+ years of experience supporting C-Suite executives, preferably within Finance, Insurance, or a global corporate entity.
Demonstrated experience managing international travel and logistics across different time zones and regulatory environments.
Ability to handle confidential financial data with the utmost discretion and integrity.
Highly developed organizational skills with the ability to "see around corners" and anticipate the needs of a busy CFO.
Advanced Microsoft Office skills (specifically Word and PowerPoint for financial presentations) and experience with global expense management systems.
The capacity to remain composed and effective under the pressure of tight financial reporting cycles and changing global priorities.
Location
Close to a variety of public transport and easy parking options, the Toowong office has excellent end of trip facilities (including secure bike storage and showers), outdoor spaces and plenty of modern collaborative areas to work and connect with colleagues.
Conveniently based at Toowong Village tower with views of the mountains and the Brisbane River, our location is only 4 km from the city and provides access to retail, restaurants and other amenities.
