We are seeking a highly skilled and proactive Executive Assistant to join the Founder's Office. This role is ideal for an individual with strong operational and administrative capabilities who can manage complex tasks with precision and efficiency. You will support our senior management team by handling a variety of administrative functions, including finance and payment tasks, travel management, and operational coordination. The ideal candidate will possess an aggressive, ownership-driven approach with an exceptional attention to detail and problem-solving skills.
Key Responsibilities:
• Administrative and Finance Support:
• Manage administrative functions for RJ Venture, including structuring and processing payments.
• Oversee finance tasks related to payment structures and operational budgeting.
• Ensure accuracy and efficiency in all financial documentation and procedures.
• Operational Coordination:
• Handle daily operational tasks with a focus on detail and clarity.
• Coordinate with various stakeholders, including CHA and import personnel, to ensure smooth operations.
• Resolve operational challenges promptly and efficiently.
• Travel Management:
• Plan and manage travel arrangements for senior management, ensuring cost efficiency and comfort.
• Implement smart scheduling strategies to optimize travel logistics.
• Coordinate with external travel agencies and ensure all travel-related tasks are completed accurately.
• Problem Solving and Task Management:
• Address and resolve issues as they arise, demonstrating strong problem-solving abilities.
• Take ownership of tasks and projects, ensuring they are completed on time and to a high standard.
• Perform regular follow-ups to ensure all tasks are progressing as planned.
• Communication and Coordination:
• Maintain clear and effective communication with senior management and external partners.
• Handle scheduling, correspondence, and coordination with a high level of professionalism.
• Ensure all administrative tasks are performed with meticulous attention to detail.
Requirements:
• Bachelor’s degree in Business Administration, Finance, or a related field.
• Proven experience in administrative and operational roles with a focus on finance and payment tasks.
• Advanced proficiency in Excel, including vlookup, pivot tables, and dashboard creation.
• Experience or knowledge of the banking sector is preferable.
• Demonstrated ability to handle operations work, with strong coordination and problem-solving skills.
• Excellent organizational skills with the ability to manage multiple tasks and priorities effectively.
• Strong communication skills, both written and verbal.
• Experience in managing travel arrangements and coordinating with external parties.
• Aggressive and ownership-driven attitude with a strong personality, capable of driving initiatives and managing key responsibilities independently.
