At AIM, we are seeking an experienced and skilled Executive Event Manager to join our team. The ideal candidate will be responsible for venue selection and negotiation for events, as well as performing various event management tasks.

Key Responsibilities:
Events Coordination
Our ideal candidate will coordinate company events, including conferences, seminars, workshops, etc., ensuring seamless execution and exceptional experiences for all attendees. This includes logistics support and management, promotion, and communication with vendors and stakeholders.

Logistics Support and Management
The selected candidate will coordinate transportation, accommodation, and catering arrangements, guaranteeing a smooth and efficient experience for event participants.

Promotion and Communication
Maintaining regular communication with vendors and stakeholders is crucial to ensure the successful execution of events. Our ideal candidate will keep vendors and stakeholders informed throughout the process.

On-site Management
Overseeing the setup and teardown of event venues and addressing any issues or emergencies that may arise during events are critical aspects of this role.

Venue Knowledge and Database Management
The ideal candidate will maintain a comprehensive database of all potential event venues, including their specifications, availability, and pricing structures. They must also stay updated on new venues, renovations, or closures in the market.

Negotiation and Cost Optimization
Developing strong relationships with venue managers and owners to establish long-term partnerships is essential. Our ideal candidate will negotiate competitive rates, discounts, or value-added services while ensuring the venue pricing aligns with the event requirements.

Booking and Contract Finalization
The selected candidate will manage the end-to-end booking process, ensuring terms are clearly documented and agreed upon, verifying that contracts include negotiated rates, cancellation policies, and other agreed terms, and ensuring timely confirmation of bookings to avoid conflicts or missed opportunities.

Vendor and Stakeholder Relationships
BUILDING A STRONG NETWORK with venue owners, managers, and relevant stakeholders is crucial. Our ideal candidate will leverage these relationships to secure exclusive deals or priority access to in-demand venues.

Market Research and Trend Analysis
The ideal candidate will monitor trends in venue pricing, new venue openings, and competitive offerings, benchmark costs and services to ensure AIM remains competitive in its venue offerings, and provide management with insights into market opportunities and cost-saving strategies.

Qualifications and Skills:
Education: Any graduation/post-graduation is desirable.
Min 5 years of experience in venue sales and event management.
Strong organizational and multitasking abilities.
Excellent communication and interpersonal skills.
Ability to work independently and as part of a team.
Strong attention to detail and problem-solving skills.
Flexibility to work irregular hours and travel as needed for events.
