Primary objective
The Executive Officer is a key member of a small effective team that delivers strategic advice, administrative support and project
management services to ensure the efficient coordination of the Office of the Chief Executive. This role is responsible for managing the
Deputy CEOs’ (the Executives) day-to-day priorities and facilitating the timely flow of accurate information to senior executive staff,
ministerial offices and key stakeholder groups.

Context statement
This position will report directly to the Director Office of the Chief Executive and provide support to both Deputy Chief Executive Officers.

Key duties and responsibilities
1. Provide high quality administrative support to the Executives, including meeting coordination and secretarial services, research and

project assistance, recruitment and onboarding activities, procurement processes, and financial administration.
2. Manage and coordinate the development and implementation of projects on behalf of the Executives, including preparation of

business cases, stakeholder management, and overall project management.
3. Liaise with representatives from the Minister’s office, Executives, and senior management to support the Executives in responding to

business and ministerial requests.
4. Prepare, develop, coordinate and process high quality, timely and reliable executive correspondence on behalf of the Executives,

including cabinet submissions, estimates papers, flash briefs, agency response papers, position papers and other reports as required,
ensuring accuracy and professional standards are maintained.

5. Undertake research and analysis on a range of issues, providing informed solutions and recommendations to support effective
decision making.

6. Facilitate and reinforce a culture of continuous improvement and strong working relationships with internal and external stakeholders
to achieve high-level outcomes.

Essential
1. Demonstrated understanding of public administration and corporate governance, with the ability to sustain a positive workplace

culture and continuous improvement.
2. Exceptional organisation and coordination skills, attention to detail, including proficiency in managing competing priorities and ability

to respond flexibly and proactively to changing priorities.
3. Well-developed project management skills, including performance monitoring and reporting, with a proven ability to coordinate

stakeholders with diverse interests to achieve shared objectives.
4. Well-developed analytical and research skills with experience translating information into clear and persuasive written reports and

briefings.
5. High level oral and written communication, interpersonal and networking skills, with the ability to establish and maintain sustainable

relationships with a varied range of stakeholders and people from diverse cultures.
6. Well-developed problem-solving skills including ability to exercise sound judgement, apply lateral thinking to identify and resolve

issues, and discern when to escalate emerging issues and concerns.
7. A high level of personal integrity, including the ability to maintain confidentiality.

Desirable
1. Tertiary qualification in business, corporate governance or a related field.
