Job Description
Key Responsibilities:
Administrative Support:
• Manage and maintain the executive’s calendar, including scheduling appointments, meetings, and travel arrangements.
• Prepare and edit correspondence, communications, presentations, and other documents.
• Handle incoming calls, emails, and other communications, prioritizing and responding as appropriate.
• Meeting Coordination: Organize and coordinate meetings, including preparing agendas, materials, and minutes.
• Ensure all necessary arrangements are made, such as conference room bookings, AV setup, and catering.
Travel Management:
• Arrange and manage all aspects of domestic and international travel, including flight bookings, accommodations, visas, and itineraries.
• Prepare detailed travel itineraries and ensure the executive is well-prepared for all engagements.
Project Management
• Assist in the planning and execution of various projects, ensuring deadlines are met and objectives are achieved. Track progress and provide regular updates to the executive team.
Stakeholder Communication
• Act as a point of contact between the executive and internal/external stakeholders, including clients, partners, and team members. Handle confidential information with discretion and professionalism.
Office Management
• Oversee the maintenance of office supplies, equipment, and facilities.
• Liaise with the IT department for technical support and ensure smooth operation of office systems.
Financial Administration:
• Manage expense reports, budgets, and financial documents related to the executive’s activities.
• Assist with preparing and reviewing financial reports, invoices, and other documents.
Event Planning:
• Plan and organize company events, meetings, and conferences as needed.
• Coordinate logistics, guest lists, invitations, and post-event follow-ups.
Qualifications:
• Bachelor’s degree in Business Administration, Communications, or a related field.
• 3+ years of experience as an Executive Assistant, preferably in an MNC or corporate environment.
• Excellent verbal and written communication skills in English.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
• High level of professionalism and confidentiality.
• Ability to work independently and handle multiple tasks simultaneously.
