Job Overview

Performs a variety of complex administrative functions as assigned. Requires a comprehensive knowledge of hospital as well as unit policies and procedures, the ability to make independent judgments regarding administrative issues as they arise and to deal effectively with the highest level of personnel, both internal and external to the hospital.

Qualifications

Required:
• High School graduate with additional business or secretarial school training or equivalent. Three to five years of secretarial experience at the executive level.
• Typing 50 to 65 wpm
• Computer literacy including Zoom, Microsoft Outlook, and Excel

Preferred
• Ability to exercise tact, discretion and judgment regarding personal/confidential materials
• Ability to communicate and cooperate with employees and staff members at all levels and individuals of diverse backgrounds
• Ability to set and maintain strict schedules, timetables, etc. and to remain flexible regarding changing work volume
• Ability to compose independent correspondence, reports, memos, etc.

Essential Functions
• Maintains contact with internal departments within the institution. Refers any pertinent information to the C-Suite Executive
• Opens, reviews, sorts and distributes mail received, bringing to the attention of the C-Suite Executive important dates, documents and communications requiring immediate response.
• Personal judgment is used to set priorities for all assignments/projects to be completed within required timeframes. Correspondence is composed when applicable on the secretary s own initiative and as requested
• Prepares time cards for payroll. Checks for accuracy
• Provides back-up coverage in the C-Suite Executive Office as assigned
• Types and edits general and confidential correspondence, contracts, proposals, reports and other documents for the C-Suite Executive and affiliate committees, utilizing their own knowledge, draft material or Dictaphone.
• Coordinates the schedule for the C-Suite Executives, arranging appointments, maintaining calendars, updating daily for self and C-Suite Executive
• Demonstrates flexibility and initiative on the job
• Organizes detailed travel arrangements for conferences, speaking engagements, seminars, and business meetings
