About the role
As an Executive Support Officer, you will provide a full range of coordination, communication, administrative and project support to the Director Disability Services NT enabling them to operate effectively and efficiently.
The successful candidate will have previous experience supporting a senior leader, will be highly relational, a quick learner, problem solver and be flexible and adaptable to thrive in a fast-paced environment with rapidly changing priorities.
This role is permanent full-time role based in our Darwin office (2-3 times per week) with hybrid work from home arrangements.
Key responsibilities
Provide timely and effective diary management
Prepare high quality documents (reports, letters, submissions etc)
Arrange travel and accommodation as required
Administration support including reconciliation of monthly expenses
Plan and coordinate meetings (including agenda preparation, collation of papers and taking minutes)
Ensure the Director is prepared for all meetings and events (including briefing materials, presentations and logistics)
Review incoming correspondence, prepare a response and/or send written correspondence on behalf of the Director
Coordinate and collate operational reporting, including analysis and insights
Monitor the implementation of Strategic and Business Plans for the Director
Proactively work with stakeholders to ensure achievement of timelines, budgets and outcomes, and providing updates as required.
Stay abreast of industry themes, trends, changes and developments
Establish and maintain working relationships with key internal and external stakeholders
Skills & experience
Experience providing support to a Senior Leader
Experience building and maintaining relationships with key internal and external stakeholders at all levels
Problem solving skills and ability to consider strategic implications of decisions/actions
High level of influencing, verbal and written communication skills
Ability to develop and collate organisation reporting and papers on complex and sensitive matters
Ability to manage sensitive information and maintain a high degree of confidentiality
Demonstrated ability to manage conflicting priorities, work under pressure and meet deadlines
Advanced proficiency in Microsoft Office suite of programs.
Successful candidates will be required to clear probity checks including National Criminal History Record Check.
