Summary

The Exhibits and Events Program Manager has responsibilities related to the event execution for in-person events. The position coordinates logistics for a diverse portfolio of in-person programs, with an emphasis on exhibitor management, audio-visual and stage production. The Exhibits and Events Program Manager will partner with other NACD departments to pursue revenue and partnership opportunities within the NACD portfolio. The role requires a highly organized and process-driven professional with experience in both big picture ideation and attention to detail. The Exhibits and Events Program Manager must have proven experience and success handling multiple projects simultaneously with ease and needs to be comfortable working with multiple stakeholders in a fast-paced environment.

Essential Duties And Responsibilities

Exhibit and Sponsorship Management
• Manages Summit Insight Hub creation, planning and logistics, including layout and space utilization
• Oversees website content, service kit creation, and exhibitor communications.
• Primary department liaison in sales prospectus creation developing sponsorship opportunities and packages and pricing structures across the portfolio that offer value to sponsors and align with NACD’s strategic objectives.
• Liaison with exhibitors, preparing and distributing exhibitor service kits, ensuring regular communication, and providing customer service to exhibitor needs
• Manages the exhibitor and sponsor registration and housing process for all meetings.
• Tracks and fulfills sponsorship deliverables at in-person and virtual events
• Partners with cross-functional teams to grow sponsorship and exhibits goals across NACD’s portfolio of meetings.
• Primary lead with NACD’s exhibits and sponsorships partner (e.g., a contracted third-party sales service provider) to identify new sponsors and exhibitors and to steward relationships with existing sponsors and exhibitors.
• Identifies opportunities for increasing attendee traffic and participation with exhibitors and sponsors.

Conference and Special Event Management
• Prepares RFPs, recommends finalists and initiates contracts with stage producers, general service contractors and other vendors for Insight Hub, Summit Mainstage and Special Events (Galas).
• Manages Summit Mainstage logistics, including set design, audio-visual and production, and mainstage run of show
• Primary liaison with third-party video producers on video production during Directors Summit.
• Manages special event (Gala) stage logistics, including set design, audio-visual and production and special event run of show
• Assists Senior Manager, Events on logistics tasks for special events (Galas) as needed

Other In-person Event Management
• Primary lead on NACD HQ education and event audio-visual and virtual production needs, working closely with DTSI to ensure event equipment and technology is adequate for use purposes.
• Serves as logistics lead for assigned in-person events, performing all duties assigned to include audio visual production, food & beverage, housing management, transportation, staffing, safety and security, and shipping.
• Performs onsite meeting management and oversees outside vendors and hotel staff for assigned in-person event.

Other Responsibilities
• Provides onsite support to Senior Manager, Events at in-person events, to ensure a positive and seamless experience for attendees
• Monitors event/project budget and tracks expenses for assigned events/projects, ensuring that the event/project stays at or below projected expenses, and reconciles all final bills
• Coordinates needs with partners, exhibitors, internal NACD departments and other stakeholders who may have a presence at NACD events
• Responsible for adhering to project timelines using Monday.com event boards to track timely completion of tasks.
• Alerts Senior Manager, Events of issues, problems or concerns.
• Works with the events logistics team to develop and implement processes and procedures to help enhance the experience at all NACD events
• Remains up to date on industry trends, competitive products, and emerging technologies to identify new revenue opportunities. Stays current, and often ahead of the curve, on event planning, design, and production trends.
• Travels to and attends offsite events as needed
• Performs other duties as assigned

• Stands/walks for long periods of time at events
• Climbs, balances, stoops, kneels, crouches, or crawls as needed
• Lifts between 20 and 50 pounds regularly

Education/Qualifications

A bachelor’s degree and minimum of 5 years of experience in production, meeting planning or exhibits operations required. Certified Meeting Planner (CMP) designation or Certified in Exhibition Management (CEM) (or significant progress towards) preferred. Must have basic knowledge of meeting planning and exhibit operations principles and practices as well as industry terminology. Experience in creative event design is preferred. Must demonstrate ability to work independently as a self-starter as well as work as part of a team and collaboratively across the organization, handling multiple activities and priorities while meeting deadlines and maintaining the utmost professionalism, organization, and extreme attention to detail. Must exhibit exceptional communication and interpersonal skills with an ability to understand and follow oral and written instructions and to deal effectively with internal/external customers and vendors. Proficiency in Microsoft Word, PowerPoint and Excel is required. Familiarity with virtual platforms such as Zoom, Cvent and/or experience with virtual events or education platforms is preferred.

NACD employees are required to be fully vaccinated for the COVID-19 virus by their first day of employment. An employee is “fully vaccinated” two weeks after receiving their second dose of a two-dose vaccination series or two weeks after the first shot of a single-dose vaccine (or as described by the vaccine manufacturer).

The salary range for this position is $85,000-$95,000 plus bonus potential. Compensation is based on several factors including but not limited to education, work experience, certifications, etc.
