SUMMARY:

We are seeking a highly organized, detail-oriented, and proactive Administrative Assistant to support our office operations and dynamic team. This role will be responsible for a wide range of administrative tasks, while also providing basic accounting support to assist the finance department as needed.

The ideal candidate thrives in a fast-paced environment, demonstrates strong communication skills in English, and has the flexibility to handle both administrative and light financial duties. Korean language skills are considered an asset.

Please note: Applicants must be legally eligible to work in Canada at the time of application. This position is not eligible for employer-sponsored work permits. Only permanent residents and Canadian citizens will be considered.ESSENTIAL DUTIES AND RESPONSIBILITIES (include but are not limited to):

Provide daily administrative support to management and cross-functional teams

Organize and maintain physical and digital filing systems and manage document control

Schedule meetings, coordinate calendars, and assist with internal communications

Draft emails, memos, and simple reports as needed

Support onboarding of new employees and help with internal HR documentation

Arrange travel and order office supplies; ensure smooth general office operations

Liaise with vendors, clients, and internal departments professionally

Assist with planning and coordination of internal events or company functions

Perform basic bookkeeping and accounting support using QuickBooks Online (e.g., expense tracking, data entry, and financial documentation)

Support the finance team with monthly reconciliations and preparation of financial records

REQUIRED KNOWLEDGE, SKILLS & ABILITIES:

Strong organizational and time management skills

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)

Excellent written and verbal communication skills in English

Korean language proficiency is an asset

Basic knowledge or experience with QuickBooks Online is preferred

Positive attitude and collaborative team spirit

Self-starter with the ability to multitask and take initiative

Diploma or degree in Office Administration, Business Administration, or a related field is an asset
