Job Description
We are seeking an approachable and efficient Facilities and Reception Assistant to deliver a wide range of facilities activities and provide excellent customer service to staff, visitors, and conference guests. This role is offered on a fixed-term basis for 4–6 months, with the possibility of extension.
The role
Working with the Facilities Coordinator you will help ensure all hard and soft facilities management services run effectively. You will provide administrative support to the facilities team and cover the reception desk when required- welcoming visitors and contractors and ensuring they are assisted in a timely, courteous and professional manner. You will build practical skills in room/desk bookings, meeting and hearing room set-ups, catering coordination, and day-to-day health and safety checks—with training and support to grow.
The post holder will undertake reception duties such as welcoming visitors and contractors to the office, ensuring they are assisted in a timely and courteous manner. Maintaining a welcoming, warm, and professional manner when communicating with service users, clients, colleagues, and other professionals.

The successful applicant will:
Provide excellent customer service to staff, visitors and conference guests, acting as a single point of contact for enquiries.
Possess strong IT skills, including experience with Microsoft Office applications such as Word, Excel, PowerPoint, Outlook and SharePoint.
Have excellent organisational skills with the ability to plan and prioritise effectively.
Work independently and as part of a team, using initiative and adapting to changing priorities.
Develop hands on experience across facilities, front of house and events support.
