Position description:
We are looking for a progressive, dynamic and solutions-oriented facilities professional with expertise in Facilities Management and General Administration. The right candidate would have a strong customer focus and would be skilled at ensuring that the office facilities including cleaning, upkeep and maintenance, health, hygiene etc. are maintained at the highest levels.
He/ She will have experience in independently leading a team of Supervisors and staff, managing large corporate offices/spaces. The Facilities Manager will be part of the operations team and report to the Regional Facilities Manager.
Roles and Responsibilities
The right candidate will be responsible for independently maintaining the entire facilities of the hub. They will manage a team of janitors, technicians and security guards to ensure high levels of upkeep and maintenance of the office space. The scope of responsibilities will be:
Soft Services:
● Ensure quality Service delivery through vendors as per agreed SLA on outsourced services of housekeeping, cafeteria and pest control
● Compliance- ensuring compliance with municipal regulations, labour regulations, ESI, PF etc.
● Compliance: Ensure +1s meets the compliance standards as per law at all hubs in the zone.
- For +1s: Meet local Fire, Health & Food Safety regulations
- For Vendors: Labor Compliance, Safety Compliances
● Documentation- Manage standard records and documents for the facility, inventory and visitors
● Liaison – Managing relationships with the landlord, municipal authorities, fire, labour and other statutory bodies
● Procurement- Work with the procurement team & manage supply and inventory of consumables, housekeeping materials, stationery, billing, invoicing, payments etc.
● Conducting regular site rounds to ensure deployment of housekeeping staff in allocated areas and hygiene, upkeep, housekeeping as per standards.
● To coordinate with Registered vendors for assigning the work and supervision .
● Laying down the housekeeping standards and follow the checklists for the site.
● Ensuring the cleaning, disinfection, sanitization is taken care of as per the schedule.
● Ensuring the adherence of the SOP’s related to any emergency scenario (e.g. COVID1+).
● To manage the site operations without compromising the quality of service within the budget.
● To ensure that the site complies with statutory and compliance requirements.
● To ensure quality of staff, appraising and developing the team to ensure maximum contribution.
● To report any problem related to the site to the reporting authority.
● To conduct daily briefing and periodic training.
● To coordinate with vendors, check and submit invoices for timely pay-out.
● To ensure all material supplies and services are provided by vendors on time.
● To prepare various site related reports, MMR, QBR, DDR etc.
● To analyse various site reports and identify loopholes.
● To assist in planning and organizing the events and other administrative activities.
● To maintain and keep records of Petty cash.
● To ensure adherence to company and client policies and SOPs.
Technical Services:
● All Electromechanical operations and their repair and maintenance.
● Overseeing all building systems including fire/life safety, HVAC, Electrical, Electronics, Plumbing and all critical utilities.
● Ensuring the documentation and checking of the assets under DLP and AMC/CAMC in tracker.
● Responsible for hiring, training and development of maintenance staff.
● Conducting regular inspection of operating MEP equipment systems; making necessary adjustments and managing controls as per requirement.
● Check preventive maintenance, shutdown and predictive maintenance system of abnormalities and take corrective action for elimination.
● Plan & take responsibility for smooth operations of all Mechanical, Electrical, plumbing installations pertaining to the facility, Ensure installation are made as per Indian electricals rules and acts.
● Periodically inspect the logbooks, checklists , PPM schedules and history cards for better management of engineering systems.
● Assist in the upkeep and preventative maintenance of Facility Assets; assist in coordinating custodial and maintenance functions.
● Review the maintenance/service practices of M&E Contractors to deliver quality work practices in line with the manufacturer recommendations.
● Verify contractor bills for accuracy and certification of quantity.
● Maintain and order equipment and supplies for facility operations.
● Preparation of 52-week calendar for PM activity, ensure weekly, monthly, quarterly schedules are completed as per schedule.
● Generating daily, weekly and monthly management reports.
● Coordination with builders for monthly power consumption, Ensure readings are matching on the 1st day of subsequent month.
● Coordination with builders for anything related to building issues and rectification if any.
● Event support as and when requested by different businesses.
● Tracking and upkeep of compliance documents related to the facility.
● Keep tracking and closure of abnormalities reported by clients within minimum time.
● Audits - Maintain daily abnormalities and take corrective action and implement counter measures recommended during audits.
● Safety Ensure safety working conditions.
● Projects- In case allocated to a new hub, partner with projects and design team to deliver the hub in the initial stages.
Requirements :
● Minimum 2 to 4 years’ experience in Facilities management; IPC/IFM background
