About the Role
Flexcar is expanding into California, and we are hiring our first operations leader on the West Coast. The Facilities & Launch Manager will play a critical role in opening, stabilizing, and scaling Flexcar facilities in the west — starting with our first hub and supporting future hubs in major metro markets, including regional infleet/defleet sites.
This role is ideal for someone with deep facilities operations, vendor management, compliance, and HR/administrative coordination strengths, who thrives in a fast-moving, startup-like environment. You’ll be our on-the-ground point person for facility readiness, permits, maintenance, contractor oversight, life-safety compliance, site operations setup, and new-market launch execution.
You will build the physical and operational foundation that allows Flexcar to scale successfully across California.
Key Responsibilities
1. Market Launch & Facilities Setup Lead on-the-ground execution for launching new Flexcar facilities statewide (Bay Area Southern California
Pacific Northwest expansions).
Coordinate buildouts, remodels, vendor work, site readiness, signage, utilities setup, Life Safety plans, and inspections.
Own day-one readiness: landscaping, janitorial, security, cameras, IT setup coordination, waste, lighting, equipment delivery, permitting, and occupancy requirements.
Partner with Expansion, Facilities, and Fleet leadership to build standardized launch playbooks and checklists tailored to California regulatory requirements.
2. Facilities Operations & Compliance
Maintain safe, clean, compliant facilities aligned with OSHA, local building codes, and California-specific regulatory standards.
Conduct routine inspections to identify maintenance, safety, and operational issues and resolve them quickly.
Manage all facility-related records, work orders, vendor contracts, budgets, and compliance documentation.
Oversee preventative maintenance scheduling, service contracts, and emergency repair response.
Ensure each facility supports throughput targets for infleet, defleet, service, and member experience.
3. Vendor & Contractor Management
Source, negotiate, and manage relationships with contractors, trades, and service providers across the West Coast.
Coordinate renovations, repairs, janitorial, security, landscaping, waste management, and specialty services (lifts, compressors, car wash, EV chargers, etc.).
Maintain cost control, verify invoices, track budgets, and ensure high service quality from all vendors.
4. HR, People Support & Market Administration
Coordinate onboarding logistics for California new hires, working closely with the People Team (all I-9 verification, compliance steps, and final approvals completed by HR).
Support payroll accuracy by collecting and reviewing timekeeping inputs; final payroll processing is completed by HR/Payroll.
Submit employee documentation to the People Team and ensure proper record routing; HRIS administration remains with HR.
Coordinate training schedules, safety orientations, and required compliance trainings; provide logistical support for team meetings and employee engagement events.
Serve as a point of contact for basic employee questions related to onboarding, policies, timekeeping, and workplace procedures, escalating issues appropriately.
5. Operational Support & Cross-Functional Coordination
Work with Fleet, Service, and Member Experience teams to ensure the facility enables operational throughput (vehicle movement, parking optimization, infleet/defleet readiness).
Support inventory management tasks such as supplies, uniforms, consumables, and operational materials.
Assist in corporate or customer events, community relations, and local partnerships as needed.
Act as the local point-of-contact for real estate, landlords, inspectors, utility companies, and municipalities.
Qualifications Required
8+ years in facilities operations, property management, or dealership/back-of-house operations.
Demonstrated experience coordinating maintenance, vendors, contractors, and site repairs.
Strong understanding of OSHA, local permitting, and building code requirements.
Experience managing multi-year vendor contracts and budget controls.
Exceptional organizational skills and the ability to manage multiple workstreams simultaneously.
Proficient with Microsoft Office, QuickBooks, basic project management tools.
Comfortable being a founder-like “first person on the ground.”
Preferred
Experience supporting new-site launches, dealership buildouts, or renovations.
Experience in HR administration, payroll accuracy, compliance, or onboarding coordination.
Automotive, dealership, mobility, or multi-site operations experience.
Comfort working with executives, general contractors, inspectors, and internal cross-functional teams.
Physical Requirements (Essential Functions – California FEHA & ADA Compliant)- This role may require standing for extended periods during inspections or walkthroughs, walking, bending, walking facilities, climbing stairs and lifting up to 25 pounds on an occasional basis.
