Job Description
We are seeking a proactive and organised Facilities Coordinator to manage the day-to-day operations and maintenance of our Welshpool and Henderson sites.

Description West Coast Admin- Mandatory Requirements
•General administration duties to ensure the effective running of the business
•Assisting with answering of phones in a professional, friendly manner
•Provision of general Customer Service support
•Greeting clients/visitors
•Safety Inductions and ensuring all clients and visitors are signed in
•Coordination and distribution of mail
•Organisation of couriers, as required
•Maintain the welcome screen in the reception area
•Ensuring Supplies for kitchen and stationery are kept at adequate levels and order when required
•Assisting with uniform ordering
•Create Access/Security Cards for new staff
•Maintain Key and Security Card register
•Maintain mail register
•Organise and order stationery orders with due consideration to budgetary requirements
•Manual PO requests
•Back up travel arrangements (domestic only)
•Assisting with FLS Events
•Ordering Catering for Events and Meetings for offsite personnel visiting
•Assisting with booking of Meeting Rooms
•Manage facility Service Providers
•Conduct Weekly checks on facility providers
•Assist facilities with coordination of facility breakdowns
•Assist Facility Manager with Vehicle Fleet Management
•Any other duties as reasonably directed by your Supervisor
•Back up for other sites administration
•Receipting for job subcontract services
•Receipting for Projects and facility services
•Scan delivery POD’s and file
•Scan job packs to file
•Print and bind new job packs
Key Responsibilities:
Oversee general maintenance, repairs, and contractor coordination across both sites
Conduct regular site inspections to ensure compliance with safety and operational standards
Liaise with vendors and service providers (e.g. cleaners, electricians, test & tag)
Manage office supplies, equipment, and utilities
Support workspace setup for new employees and relocations
Respond to facility-related issues in a timely and effective manner
Maintain records of maintenance schedules, contractor visits, and safety checks
Requirements:
Previous experience in facilities coordination or a similar role
Strong organisational and time management skills
Ability to work independently across multiple sites
Excellent communication and problem-solving abilities
Job Type: Full-time
Pay: $65,000.00 – $75,000.00 per year
