We are seeking a highly motivated and organized individual to join our team as a receptionist. As the first point of contact for our company, the ideal candidate will have excellent communication skills, a friendly and professional demeanor, and the ability to multitask in a fast-paced environment.
Responsibilities:
v Greeting visitors and clients: The receptionist is the first point of contact for visitors and clients. They must greet them warmly and make them feel welcome.
v Answering phones: The receptionist is responsible for answering incoming calls, directing them to the appropriate department or individual, and taking messages when necessary.
v Managing appointments: The receptionist schedules appointments for clients and staff members, and maintains the appointment calendar.
v Providing information: The receptionist provides information to visitors and clients about the organization, its services, and policies.
v Managing mail: The receptionist is responsible for receiving and distributing mail and packages.
v Maintaining the reception area: The receptionist keeps the reception area clean and organized, and ensures that all necessary supplies are stocked.
v Handling administrative tasks: The receptionist may be responsible for performing various administrative tasks such as data entry, filing, and other clerical duties.
v Communicating with staff: The receptionist communicates with staff members regarding client and visitor needs, appointments, and other important information.
v Following security procedures: The receptionist follows security procedures to ensure the safety and security of the office or organization.
v Maintaining confidentiality: The receptionist must maintain the confidentiality of sensitive information.
Requirements:
v Graduate or equivalent
v Previous experience in a receptionist or administrative role preferred
v Excellent communication and interpersonal skills
v Ability to multitask and prioritize tasks in a fast-paced environment
v Proficient in Microsoft Office
v Professional appearance
