Knowledge (Education & Related Experience):
• BCom /M. Com/ MBA/CA Inter/CMA Inter about 4-5 years of Post Qualification experience.
• Experience of INGO environment preferred.
• Experience of financial management, programme & project management, HRM and administration.
Skills (Special Training or Competence):
• Project Financial management and data analysis skills.
• Ability to represent Sightsavers India with key external stakeholders.
• Excellent communication skills (both oral & written).
• Capacity building or facilitation skills.
• Ability to work with minimum supervision.
• IT skill particularly handling Microsoft Office and accounting software.
• Ability to understand and work with project budgets, forecasts, and reports.
Responsibilities -
Administration & Procurement - 15%
• Logistic and travel arrangements for staff and visitors during field visits and
office meetings.
• Liaise with contracted service providers for telephone, equipment
maintenance, Security etc, vehicle hire vendors, travel ticket booking
agencies, etc. for smooth operations.
• Support & supervise the office assistant in proper maintenance of the office.
• Ensure Safety arrangements are in place at office premises.
• Ensure updated Emergency Manuals are in place and communicated to all
staff from time to time.
• Ensure Safety and Security management meetings are regularly held.
Financial Accounting & Documentation (Direct Implementation) - 40%
• Data entry in Tally for transactions under INR 20,000/-.
• Uploading bank payments.
• Preparing monthly closing balance schedules of Accruals, Payable,
Advances, Creditor, Debtors, Staff reimbursement, petty cash
• Preparing BRS on a monthly basis.
• Petty cash management.
• Ensuring Cheque books and cash are kept under lock in fireproof safe.
• Timely release of Programme / Travel Advance and reimbursement of
expenses to employees/TPA staff.
• Settlement of vendor payments within the stipulated time.
• Perform other finance related work assigned by the Line Manager from time to time.
Financial Accounting & Documentation (Partner) - 15%
Maintain partner database.
• Manage soft and hard copies of PFAs and MOUs.
• Generate MIS reports for different programmes on monthly basis.
• Monthly Review of Partner MFRs.
• Assist in partner financial reviews.
Asset Management - 10%
• Manage organisation owned assets at State office and BRCs.
• Ensure annual asset insurance and timely renewals and handle insurance
claims with the empanelled agent as needed.
• Issue Asset ID numbers and tag assets accordingly.
• Conduct annual physical asset verification.
• Maintain separate records for assets below ₹5000.
• Record non-capitalised project assets.
• Ensure proper documentation for asset handover/takeover.
Support for Internal & External Audit and statutory compliances - 5%
• Review & provide Audit vouchers as per requirement.
• Sharing TDS details with HO.
• Filing of monthly/Quarterly/ Annual professional tax return.
• Ensure the deduction of TDS at higher rates than usual in case who have not
filed their income tax return in the last year as per Section 206AB.
• Compliance to other Statutory requirements under IT/FCRA.
Human Resources - 10%
• Maintaining and timely submission of the attendance and leave record along
with other statutory documents of the TPA managed staff members.
• Coordinate with TPA agency for monthly invoice.
• Verify & Allocate TPA staff salary to different projects for booking.
• Ensure timely release of payments to TPA agencies post review of invoices.
• Conduct Induction for new Joiners and make related information available
to them to perform their duties.
IT - 5%
• Ensure smooth running of IT systems in the office including server and internet connections.
• Provide IT related support to staff and consultants in coordination with ICT Manager.
• Maintain inventory of IT infrastructure including warranty schedules and liaise with hardware/software vendors for maintenance activities.
• Liaise with ICT Manager, Head Office, in addressing any IT related issue.
• Maintain Not in use IT assets in consultation with ICT Manager.
• Repair maintenance support for laptops issued to consultants.
Safeguarding
• Ensure safeguarding principles are followed in programme implementation, training etc.
• Ensure safeguarding documents and policies are shared and explained with all the parties (Partners, Venders, Suppliers etc) in coordination with state programme leads.
